Inbound Executive

Role Overview

The Inbound Executive is responsible for managing and coordinating daily inbound logistics operations, ensuring the timely receipt, compliance, and quality of all incoming shipments. The role involves close coordination with suppliers, 3PL partners, demand planning, and regulatory authorities to maintain smooth operations, stock accuracy, and adherence to food safety standards.

Key Responsibilities

Shipment & Operations Management

  • Oversee day-to-day inbound operations including receiving shipments via sea, air, and local suppliers.
  • Schedule incoming shipments in coordination with the Demand Planning team and Import/Export Manager.
  • Ensure efficient dock utilization, workflow, and timely receiving processes.
  • Coordinate with 3PL partners on inbound planning, container scheduling, and cross-docking.

Documentation & Compliance

  • Verify purchase orders, invoices, certificates, and compliance documents for accuracy.
  • Upload and maintain organized records in shared drives and internal systems.
  • Manage Dubai Municipality requirements including Food Watch submissions and sample coordination.
  • Ensure compliance with UAE food safety regulations, HACCP, and ISO 22000 standards.

Quality & Inventory Control

  • Inspect incoming goods for accuracy, quality, and cold chain integrity.
  • Report and escalate abnormalities through inbound claim procedures.
  • Coordinate with Inventory and Warehouse teams for putaway, stock accuracy, and space allocation.

Financial & Reporting Support

  • Collaborate with Finance on landing cost (LC) completion and inbound-related expenses.
  • Support KPI reporting on accuracy, processing times, and quality.
  • Provide insights for process improvements and cost optimization.

Food Safety & Recall Preparedness

  • Maintain full product traceability including batch, lot, and expiry tracking.
  • Support Quality Assurance in recall situations and compliance audits.
  • Implement and sustain food safety protocols across inbound operations.

Skills & Qualifications

  • Bachelor’s degree in Supply Chain, Logistics, or a related field (preferred).
  • 3–5 years of inbound logistics experience in FMCG or food distribution.
  • Strong knowledge of import/export procedures, UAE food safety regulations, and Dubai Municipality requirements.
  • Proficiency in ERP/WMS systems, Microsoft Office, and inventory tracking tools.
  • Excellent problem-solving, analytical, and communication skills.
  • Experience with cold chain logistics and 3PL vendor coordination is an advantage.
