Insurance & Billing Coordinator

About the Role

We are seeking a dedicated and detail-oriented Insurance & Billing Coordinator to join our pediatric dental family. This position is the financial backbone of our practice — ensuring our patients and their families have a clear, stress-free experience with their dental benefits, while keeping our office revenue cycle running smoothly and efficiently.

Key Responsibilities

  • Verify dental insurance benefits for new and existing patients, accurately documenting coverage details, limitations, frequencies, and maximums prior to appointments
  • Submit, track, and follow up on insurance claims in a timely manner; manage claims aging reports to minimize outstanding balances and denials
  • Post insurance and patient payments; reconcile accounts and investigate discrepancies with accuracy and urgency
  • Monitor and manage accounts receivable (A/R) totals, generating and interpreting reports to identify trends, problem accounts, and collection needs
  • Communicate insurance coverage and benefit explanations to patients and families in a clear, friendly manner — especially in our pediatric environment where parents depend on our guidance
  • Resolve billing inquiries and disputes with professionalism, empathy, and efficiency, serving as the primary point of contact between patients, families, and insurance carriers
  • Process and review Explanations of Benefits (EOBs) from third-party payers; identify underpayments, errors, or opportunities to resubmit denied claims
  • Maintain up-to-date patient account records within dental practice management software; adapt quickly to system updates or transitions
  • Prepare and distribute patient statements; follow up on outstanding patient balances with courtesy and professionalism
  • Collaborate with clinical and front desk teams to ensure accurate CDT coding and complete documentation for maximum reimbursement
  • Perform month-end close tasks and reporting as directed by the Office Manager
  • Stay current on changes to dental insurance regulations, CDT codes, and payer-specific policies

Qualifications & Skills

Required

  • Minimum 2 years of dental or medical insurance billing experience
  • Working knowledge of dental insurance plans (PPO, HMO, Medicaid/CHIP), fee schedules, and CDT coding
  • Exceptional attention to detail and accuracy in data entry and account management
  • Strong organizational skills with ability to manage multiple priorities simultaneously
  • Proficiency with dental practice management software
  • Excellent written and verbal communication skills
  • Customer-focused mindset with the ability to calmly resolve billing concerns

Preferred

  • Experience in a pediatric dental setting
  • Familiarity with Medicaid/MI Child billing procedures
  • Background using cloud-based PMS systems and associated financial reporting
  • Experience with dental clearinghouses (e.g., Availity, DentalXChange)
  • Demonstrated ability to adapt quickly to new software systems
  • Associate’s degree in healthcare administration or related field

Compensation & Benefits

Base Pay

Competitive hourly rate of $22–$26/hour, commensurate with experience

Incentive Pay

Performance-based bonus opportunities tied to A/R metrics, claims resolution rates, and clean claim submission rates — rewarding the results you drive

40 hours per week; Monday–Friday, 7am - 3pm
