We are seeking a dynamic and organized Intake & Front Office Coordinator to serve as the welcoming face of our healthcare facility. This vital role involves managing patient intake processes, coordinating front desk operations, and ensuring seamless communication between patients, providers, and insurance companies. - Greet patients and visitors warmly, providing exceptional customer service at the front desk
- Verify insurance eligibility and benefits; coordinate with payers to obtain and track initial and ongoing authorizations for skilled nursing and therapy services.
- Work closely with the clinical team to ensure all required documentation is present for a seamless transition to care.
- Collect and review patient documentation, including medical history forms and consent forms, ensuring completeness and accuracy
- Manage multi-line phone systems with professional phone etiquette, directing calls efficiently and recording messages as needed
- Maintain organized medical records and ensure proper filing of patient charts in compliance with HIPAA regulations
- Continuously monitor incoming faxes and digital referral portals to ensure timely processing of new patient inquiries.
- Support clinical staff by preparing intake forms, updating care plans, and reviewing documentation for accuracy
- Utilize computer skills to navigate various EMR systems like AXXESS, Wellsky or Vesta for data entry and record management
- Conduct office management duties including filing, data entry, appointment reminders, and managing office supplies
Requirements
- Minimum of 1–2 years in healthcare intake, medical front office, or insurance authorization (Home Health experience is a major plus).
- Familiarity with EMR systems such as AXXESS, Vesta, or WellSky, is highly desirable
- Excellent customer service skills with professional phone etiquette and bilingual abilities are a plus
- Ability to handle sensitive patient information in accordance with HIPAA guidelines with discretion and confidentiality
- Proficient computer skills including Microsoft Office Suite (Word, Excel) and office management software
- Basic understanding of medical terminology and Texas-based insurance providers (e.g., Medicare, Medicaid, and private payers).
- Strong organizational skills with attention to detail for documentation review and record keeping
- Ability to manage multiple priorities efficiently in a fast-paced environment
