Salary: $40,000-$45,000

GENERAL DESCRIPTION:

Under the direction and supervision of the Executive Assistant, the Receptionist performs general receptionist and clerical support responsibilities; greets clients and visitors and responds to questions and concerns.

REQUIRED QUALIFICATIONS:

  • Veteran of the U.S. Armed Forces who received an honorable discharge for all periods served or, if a qualified Veteran is not available, whose spouse, surviving spouse, child, or parent served in the U.S. Armed Forces.
  • High School Diploma or equivalent and minimum one year of experience in an administrative support capacity, including responsibility for customer service.
  • Proficiency with basic computer operations including Microsoft Office Suite, database entry and records management

ESSENTIAL FUNCTIONS OF THE POSITION:

  • Familiarity with inputting data into a tracking or ticketing software program.
  • Performs general receptionist and clerical support responsibilities. Greets and logs incoming clients, dependents, and other visitors. Directs visitors and clients to
appropriate staff member(s), monitors passage of clients past the receptionist area to maintain security of inner offices.
  • Answers multi-line telephone system, takes messages and routes calls, answers routine information requests and assists in scheduling appointments. Receive calls
from clients. Instruct clients on specific list of data that must be provided to complete an application.
  • Performs clerical support responsibilities. Types forms, letters and memos, sorts and processes mail, routes mail to appropriate staff, filing, duplicates and distributes reference materials.
  • Maintains operation of client waiting room and general office areas and equipment by assuring copy machines, network printers, fax machines, shredders, and other equipment in general office areas are filled with paper, toner, and operating effectively each morning. Informs appropriate staff of supply or service needs for any other general office equipment.

  • Maintains confidentiality of confidential and sensitive information.
  • Performs job responsibilities in accordance with HCVSC’s policies, procedures and contracts as applicable, and in compliance with Federal, State and local laws and regulations.
  • Maintains the highest level of integrity and professionalism in all aspects of job performance.
  • Keeps abreast of current trends and practices in the field. Attends and participates in required trainings on topics relevant to the job.
  • Works assigned schedule, exhibits regular and punctual attendance.

  • Report known and suspected cases of abuse, fraud, and misrepresentation to appropriate authorities.
  • Attend mandatory/optional training programs and workshops to stay informed about evolving best practices in Veteran services and holistic wellness support.
  • Activities defined in the above position description do not preclude or exempt the
employee from performing other related or non-related duties as may be required to maintain an effectively functioning office.
