Overview
We are seeking a highly organized and experienced Interim Business Office Manager to oversee administrative and financial operations within a healthcare setting. This role requires a dynamic professional capable of managing office functions, supervising staff, and ensuring smooth day-to-day operations. The ideal candidate will possess strong communication, organizational, and leadership skills, with a background in medical office management and administrative support. This is a temporary position designed to maintain operational excellence during transitional periods or staffing gaps.
Responsibilities
- Manage daily office operations, including front desk duties, filing, and multi-line phone systems
- Oversee calendar management, scheduling appointments, meetings, and events with precision
- Supervise administrative staff, providing training and development opportunities to enhance team performance
- Coordinate vendor management activities, including procurement and service contracts
- Handle human resources functions such as onboarding, payroll processing, and employee records management
- Oversee bookkeeping and budgeting activities to ensure financial accuracy and compliance
- Utilize QuickBooks for financial recordkeeping and reporting purposes
- Plan and execute special events related to healthcare administration or community outreach
- Maintain excellent communication with medical staff, vendors, and patients to ensure high-quality service delivery
- Ensure adherence to healthcare regulations and office policies through effective office management practices
Experience
- Proven supervisory experience in an office or healthcare environment
- Strong background in medical office management or healthcare administration
- Demonstrated proficiency with QuickBooks, calendar management tools, and multi-line phone systems
- Experience in event planning, vendor management, payroll processing, budgeting, bookkeeping, and clerical tasks
- Excellent organizational skills with the ability to manage multiple priorities efficiently
- Exceptional communication skills with professional phone etiquette and interpersonal abilities
- Prior experience in human resources functions such as training & development and employee relations is preferred
- Familiarity with front desk operations and medical office procedures is highly desirable
