Join our boutique residential interior design firm as an Interior Design Office Manager, where you will be the heartbeat of our office operations! This energetic role demands a proactive, organized professional who thrives in a fast-paced environment. You will oversee daily administrative and bookkeeping functions and support our creative team to ensure seamless project execution. Your leadership will help foster a productive workspace that allows the design team to stay focused on the projects. This role will represent our luxury firm to our vendors and clients and will provide exceptional luxury level client service. Responsibilities
- Manage day-to-day office operations, including administrative tasks, clerical support, and maintaining a professional office environment.
- Assist with office scheduling, appointments and meetings.
- Answer phones, handle mail and make bank deposit runs.
- Manage A/P, A/R, payroll processing, Studio Designer entries to maintain accurate financial records.
- Coordinate with Bookkeeper as needed.
- Run monthly financial reports for CEO
- Handle files, contracts, invoices, and other documentation with meticulous attention to detail.
- Order office supplies and manage office upkeep.
- Prepare for in-office meetings and client presentations.
- Assist with marketing efforts and client services.
- Run office related errands.
- Coordinate all administrative tasks and run an efficient and organized office .
- Qualifications
- Proven experience in office management or administrative roles within interior design or related fields.
- Proficiency in calendar management, general bookkeeping practices and administrative logistics.
- Refined communication style and amazing relationship building skills conducive to working with luxury clientele
- Organizational prowess, precision, a methodical approach and the ability to prioritize and juggle multiple tasks in a fast-paced office.
- Knowledge of the interior design industry a big plus.
- A high level of personal stability.
- Must live within 30 minutes of Northport and have reliable transportation.
- A track record of reliability, punctuality and longevity in your past positions.
- A polished, mature, professional and stylish personal presence that would sync well with our luxury brand.
- No foreseen circumstances or barriers to your ability to dedicate at least 3 to 4 years to this role
- A high level of emotional intelligence and good at cultivating great interpersonal relationships.
- Naturally thrives in a fast-paced office with a small, fun, and design team.
Pay: $22.00 - $27.00 per hour
