We are seeking an International Projects Personnel and Administrative Affairs Specialist to manage all international HR and administrative processes for our site personnel working on overseas construction projects, and to ensure effective coordination between the head office, project sites, and relevant management.


QUALIFICATIONS

  • Bachelor’s degree from relevant university departments (e.g. Business Administration, International Relations, Labor Economics, Human Resources or similar)
  • Preferably experience in international personnel procedures within the construction sector (overseas site assignments, camp/site operations, etc.)
  • Knowledge of visa, work permit and residence permit processes for blue- and white-collar staff working on international construction sites
  • Proficient in MS Office applications, with strong skills in reporting, documentation and follow-up
  • Strong communication and interpersonal skills; solution-oriented, proactive, and detail-focused
  • Strong planning and coordination abilities, able to manage multiple projects and priorities simultaneously
  • Excellent command of English (knowledge of a second foreign language is an asset)
  • Able to adapt to a fast-paced, project-based and multicultural work environment


JOB DESCRIPTION


  • Prepare, track, and finalize all international documentation and permit processes for site personnel working on overseas construction projects, including visas, work permits and residence permits
  • Provide operational support in personnel assignment and mobilization processes (flight tickets, accommodation, camp arrangements, travel plans, transfers, etc.)
  • Coordinate with foreign consulates, intermediary agencies, and consulting firms to ensure timely completion of visa and permit procedures for construction site staff
  • Monitor and regularly update personnel movements, contracts, passports, and assignment details in line with project schedules and rotations
  • Organize onboarding, mobilization, rotation and demobilization processes for personnel assigned to international construction sites
  • Ensure smooth, accurate and timely information flow between the head office, project sites, and the HR department, particularly regarding staff planning, extensions, and rotations
  • Conduct research on country-specific visa, work permit and labor regulations related to construction activities, and ensure all processes comply with current legislation and company policies
  • Prepare and submit regular reports and analyses (headcount, assignment status, permit tracking, expiry lists, etc.) to management and project teams
