Job Summary & Key Responsibilities
The International Relations Specialist’s role combines international engagement with
administrative support to ensure seamless preparation, implementation, and follow-up of
international initiatives, conferences, and partnerships.
The specialist will manage internal administrative processes to ensure effective international
cooperation and organizational alignment with the team.
Key Duties & Responsibilities:
- Draft, format, and process official correspondence, including emails, memos, meeting invitations, and reports.
- Maintain accurate records of incoming and outgoing communications with international stakeholders.
- Handle data entry, document preparation, photocopying, scanning, filing, and printing as needed.
- Maintain and update the International Relations department’s filing and archiving systems (physical and electronic).
- Ensure all documentation, such as meeting minutes, agreements, and reference materials, is organized and retrievable.
- Assist in organizing and coordinating official meetings.
- Handle official correspondence (emails, memos, notes, etc.)
- Assist in compiling materials such as delegate lists, background notes, and presentation handouts.
- Draft reports, meeting summaries, and briefings.
- Assist in organizing high-level delegations, official visits, and international conferences, coordinating logistics, accommodation, and itineraries.
- Follow up all correspondences, archiving and filling.
- Prepare reports and documentation.
Education:
Bachelor’s degree in administration, project management, or related field.
Experience:

7 to 10 years of experience in related field.

Background in organizing or coordinating international meetings and managing diplomatic
communications.
