Position
The Investment Administration Specialist supports RCT’s biotechnology investment team and platform from disclosure and diligence of new opportunities to active investment management through exit. Interaction with staff, portfolio companies, legal counsel, and licensees (current and potential) is essential for this in person position.
We are seeking a detail-oriented and proactive professional to support our team in managing a variety of operational and administrative tasks, including information research, diligence, document support in legal transactions, and other aspects of venture capital investing and portfolio company management. The ideal candidate will have experience in fast-paced, high-growth environments—particularly within the startup or venture capital ecosystem. This role also involves enhancing the team’s and company’s productivity by performing all types of supportive activities and assignments across the investment team and company.
This full-time position reports to the Director of Administration and is classified as Exempt.
The Investment Administration Specialist’s responsibilities include, but are not limited to the following tasks for the team, company and its portfolio companies as needed:
· Agreements and Documents: Coordinate, prepare and manage various standard corporate agreements and documents (e.g., confidentiality, material transfer, consulting, license, research, storage, services) and their amendments.
· Compliance: Review, coordinate, monitor, collect and support the overall maintenance of investments, licenses and other corporate agreements in coordination with investment managers. Compliance tasks require strong organizational and communication skills as well as a working knowledge of various legal agreements used in investing and licensing.
· Records Management: Oversee the maintenance and safeguarding of company investment and project files including legal agreements.
· Information Research: Conduct information research to support due diligence and strategic planning for new and existing investments.
· Information Management: Manage and administer print and electronic items including databases and subscriptions (books, articles, reports, government filings, patents, etc.).
· Project Management: Assist with project management including research, monitoring companies, patents, and licensed technologies/materials, preparing notice letters, compiling data for reports, and preparing documents for signature.
· Education & Experience: Bachelor’s degree with a minimum of 5 years of relevant work experience in an investment or venture capital environment is preferred. An Associate’ degree combined with a minimum of 5 years relevant experience derived from working with information management systems or as a paralegal for a law firm or legal team supporting investment transactions, licensing and intellectual property or supporting commercial litigation that requires diligence, teamwork, document support and excellent organizational skills.
· Technical Proficiency: Skilled in Microsoft Office Suite, Adobe Acrobat, DocuSign, Carta, Westlaw, Derwent, financial platforms, and CRM tools.
· The capacity to work independently with initiative, discretion, and a high level of confidentiality.
· Excellent analytical, judgment, and troubleshooting abilities.
· Strong verbal and written communication skills for effective interaction with coworkers and external contacts.
· Ability to prioritize tasks and manage multiple projects in a fast-paced environment.
· Exceptional focus on accuracy and quality.
· Fluent in web-based applications and internet research.
· Proficient in preparing and editing internal legal documents.
· Genuine interest in venture capital and startups.
· Managing files, calendars and meetings as needed.
· Proven ability to work collaboratively in a small, team-oriented environment.
· Experience in organizing events and conferences would be a plus.
Job Type: Full-time
Pay: $70,000.00 - $85,000.00 per year
