The IT Project Coordinator will play a critical role in identifying, engaging, and securing potential clients for software development and IT services. The person will be responsible for managing the entire project coordination and Pre-Sales — from understanding client needs and preparing proposals to effectively locking clients through Upwork and other freelance or direct channels. The ideal candidate must have hands-on experience in Upwork platform, client negotiation, proposal writing, and collaboration with internal technical teams.
Key Responsibilities
Client Acquisition & Closing
- Engage directly with potential clients (leads, Upwork inquiries, or existing network) to understand their needs and offer tailored service proposals.
- Manage pre-locking communications — calls, requirement discussions, cost finalization, and scope negotiation.
- Strategically maneuver clients toward closure by building trust, addressing concerns, and demonstrating service capability.
- Maintain follow-up with leads until closure and ensure proper project documentation.
- Work closely with management to finalize budgets and ensure profitability on closed projects.
Pre-Sales & Proposal Management
- Collaborate with technical and design teams to prepare proposals, project estimations, and timelines.
- Translate client requirements into clear technical scopes and deliverables.
- Ensure timely submission of proposals, presentations, and supporting documents.
- Participate in client demos, presentations, and initial technical discussions when required.
Project Coordination & Management
- Act as the initial project manager post-closure until project handover or completion.
- Coordinate between clients and internal teams to ensure smooth project execution, requirement clarity, and timely delivery.
- Track milestones, manage client updates, and ensure alignment with agreed scope and timelines.
- Escalate delivery risks or delays promptly and ensure proactive communication with clients.
- Maintain documentation including project briefs, task lists, and communication logs.
Reporting & Strategy
- Maintain accurate records of leads, conversions, and ongoing projects.
- Provide weekly reports on pipeline status, client feedback, and delivery performance.
- Identify recurring client demands and suggest improvements in offerings or processes.
Required Skills & Experience
- Bachelor's in Computer Science, Software Engineering or IT.
- 3–6 years of experience in IT business development, client coordination, or project management — preferably in a software development or IT services company.
- Proven track record of client locking and handling direct Upwork clients (without relying on general bidding).
- Excellent communication, negotiation, and presentation skills.
- Solid understanding of SDLC, software service delivery processes, and team structures.
- Ability to manage multiple projects and client communications simultaneously.
- Proficiency in tools like Trello, Jira, ClickUp, Microsoft Teams, or similar.
