Job Summary
We are an established, fast-paced plaintiff’s medical malpractice law firm seeking a meticulous and highly organized Medical Record Organizer to manage the lifecycle of medical documentation. This position is responsible for indexing, and chronologically organizing comprehensive medical records to build strong cases. The ideal candidate will transform thousands of pages of medical data into a structured, easily accessible format for attorneys to review, ensuring that all key evidence is identified, secure, and ready for mediation or trial.

Key Responsibilities

  • Document Organization: Classify, index, and upload medical records into our case management system (e.g., Neos/SharePoint).
  • Audit & Quality Control: Closely review received records for completeness and accuracy, identifying missing information, duplicates, or gaps in treatment.
  • Chronological Structuring: Organize records chronologically to build a coherent, persuasive story of the client’s injury, diagnosis, and treatment.
  • Medical Data Review: Review medical documentation to assist in identifying potential breaches in the standard of care, causation issues, and damages.
  • Collaboration: Work closely with attorneys and paralegals to update medical specials, liens, and damages, highlighting crucial evidence.
  • HIPAA Compliance: Maintain strict confidentiality and adhere to all HIPAA regulations regarding the handling and security of patient information.

Qualifications

  • Experience: 1–3+ years of experience working in a personal injury or medical malpractice law firm as a medical records clerk, legal assistant, or paralegal.
  • Medical Background: Strong proficiency in reading, interpreting, and understanding medical terminology, records, and reports.
  • Education: High School diploma required; Associate’s or Bachelor’s degree in healthcare, paralegal studies, or a related field preferred. RN or LPN background is a plus.
  • Technical Skills: Proficiency in electronic health record (EHR) systems and case management software (Neos, Filevine, Ciox, etc.) and Adobe Acrobat/PDF management.
  • Skills: Exceptional attention to detail, strong organizational skills, and the ability to work independently in a fast-paced environment.

Key Performance Indicators (KPIs)

  • Accuracy and completeness of organized medical files.
  • Timely turnaround of medical records from request to indexing.
  • Efficiency in identifying missing records or inconsistencies in documentation.
