KYC/ Compliance Analyst

The Role
Job Title: Compliance Analyst/ Onboarding Specialist Location: Dubai, UAE Department: Marine Fuels Company: Flex Commodities DMCC Reports To: Business Manager & Managing Partner Job Summary: Flex Commodities DMCC is seeking a highly motivated and experienced Compliance Analyst / Onboarding Specialist to oversee and manage the onboarding process of employees and counterparties while ensuring adherence to regulatory compliance standards. This role is critical in maintaining our company's integrity, mitigating risks, and fostering a smooth integration of new hires and business partners. Key Responsibilities: • Conduct thorough KYC checks and compliance screenings for new customers and suppliers to ensure adherence to regulatory and company standards. • Carry out compliance checks on ships, customers and vendors, especially during key trading hours. • Work closely with sales and procurement teams to facilitate the onboarding process, ensuring a seamless integration of new clients, suppliers and any counterparty. • Maintain accurate records of all KYC and Compliance activities, including customer and supplier documentation, verification processes and compliance checks. • Create a customer or vendor card in ERP as required, upload all registration documents. • Carry out registration of the company with all counter parties as required and keep a record in the directory. • Stay updated on regulatory changes and compliance requirements relevant to the trading industry, implementing necessary adjustments to the onboarding processes. • Collaborate with the compliance department to address any discrepancies or issues that arise during the onboarding process. Highlight any issues found during the compliance checks of the counterparty, including their stakeholders. • Ensure timely submission of compliance reports and data to internal management and day-to-day banking needs. Conduct regular audit of compliance processes to ensure all regulatory requirements are met. • Support audit by external regulators or internal audit teams by providing documentation and reports. Ensure that business decisions are complaint, balancing risk management with business growth. • Identify process inefficiencies in the compliance and onboarding workflow and recommend improvements. Implement enhanced due diligence procedures for high-risk customers and transactions. • Provide training and support to team members on compliance and KYC related matters to foster a culture of compliance throughout the organization. Key Performance Indicators (KPIs): • Basic KYC and onboarding for both suppliers and customers should be completed within 48 hours, covering all required documentation. • Detailed KYC, including for major clients, derivatives, and banking forms, may take up to 5 working days. • Compliance checks on ships must be conducted within 5 minutes per vessel during trading hours. • Maintain an error rate of less than 2%, ensuring accuracy in records. • Conduct monthly reviews and provide guidance to the team on compliance and KYC updates. • Track and implement initiatives aimed at improving the process. Requirements
Qualifications & Experience: • Bachelor’s degree in Business, Finance, or a related field. • 2-5 years of experience in compliance, onboarding, or a related role, preferably in commodities, shipping or marine fuel trading. • Strong understanding of KYC, AML, and regulatory compliance requirements. • Experience with HRIS and compliance management tools is a plus. • Detail-oriented with excellent organizational and analytical skills. • Strong communication and stakeholder management abilities.
