Key responsibilities and duties include, but are not limited to:
- Lead comprehensive planning and programming support for LM&O, including service agreement development, workload balancing, and master schedule coordination.
- Analyze, develop, and manage annual service agreements to ensure accurate labor accounting, operational efficiency, and high‑quality customer service.
- Coordinate service and event requests in partnership with the AiM Ready team to support Landscape Services and Waste Reduction & Recycling operations.
- Facilitate monthly Bluebeam design review sessions, collaborating with leadership to assess project feasibility and clearly document facilities requirements.
- Manage projects across the full lifecycle by researching material costs, initiating bids from external contractors, and completing material takeoffs for landscape and construction work.
- Develop accurate labor budgets and project schedules by validating field measurements, sketches, and safety requirements.
- Process brick and landscape permits and actively coordinate timelines with customers and campus stakeholders.
- Consult with clients to define project scope, deadlines, materials, and constraints, and provide clear direction to field supervisors to support successful execution.
- Administer the AiM work management system by monitoring work orders, tracking time loading, updating statuses, and ensuring accurate billing.
- Review financial accounts within WRS to ensure compliance with spending policies and collaborate with departments to resolve discrepancies.
- Maintain and update operational databases and Google/Microsoft applications that support daily activities across all LM&O units.
- Serve as a subject matter expert and trainer, onboarding new supervisors and planners to departmental systems, tools, and processes.
- Develop and maintain tracking systems for small equipment to assess cost, depreciation, and replacement or upgrade cycles.
- Coordinate with Fleet Services to manage vehicle and equipment adjustments within the FASTER system.
- Analyze equipment age, condition, and maintenance history to make surplus and cost‑saving recommendations to leadership.
- Lead process improvements by implementing paperless workflows and training staff on electronic surplus requests and approval processes.
