Law Firm Intake Supervisor (Hollywood - BILINGUAL REQUIRED)

We're a 10-attorney Plaintiff's P.I. and Workers Compensation Litigation Firm in Hollywood, FL. We handle auto, trucking, and premises liability accident cases all over FL. We're looking to hire a BILINGUAL (Spanish-speaking) Law Firm Intake Specialist to train to be our Supervisor. Prior management or supervisor experience is not required but you would need a lot of Intake Specialist experience at a law firm. We will rigorously train you for management right from day 1. You will be managing an Intake Team of 4 employees but we are also growing so it could be more down the road.

The Intake Supervisor’s primary responsibilities are to manage the firm’s Intake Department, provide support and guidance to the intake team, oversee the intake process, take escalated calls, provide QA feedback, and train as necessary. The ideal applicant will have previous experience working for a law firm as a manager or supervisor of a call center or intake department. Individuals should be poised and professional with strong verbal and written communication skills. Any additional tasks deemed necessary may be added by Management based on business needs.

Job Description Role and Responsibilities

  • Book consultations for prospective clients with our lawyers to expand our caseload and ensure meeting schedules are accurate.
  • Screen phone calls from new potential clients who are calling to report accident claims, helping evaluate the merits of their claims.
  • Schedule initial consultation meetings with our firm's attorneys.
  • Collect paperwork and enter data into our case management system to ensure a smooth onboarding for new clients and tidy management of case files.
  • Serve as the first point of contact for potential new clients, screening their needs and determining whether our firm can assist them.
  • Place reminder and confirmation calls for upcoming appointments.
  • Collect and organize documents, set up new client files, and ensure all intake-related data is accurately recorded.
  • Represent the firm professionally and warmly, both over the phone and in written communications.
  • Conduct intake calls with empathy and precision, uncovering the core reason for each inquiry.
  • Supervise the other employees within the firm's Intake Department.
  • Manage the Intake department's work schedule.
  • Monitor calls and emails.
  • Foster a teamwork-inclusive environment.
  • Provide excellent customer service by promptly addressing concerns.
  • Create, maintain, and keep documentation related to actions taken as part of the intake process (including filling/filing intake forms, and maintaining correspondence).
  • Maintain referral information.
  • Identify when cases should be cross screened for other practice areas or referred to outside law firms.
  • Ensure that case files are complete.

Qualifications and Education Requirements

  • Bilingual (Spanish) - reading, writing and verbal - REQUIRED
  • Associate’s or bachelor’s degree preferred but not required.
  • Computer proficiency, including familiarity with Microsoft Office applications, Outlook, and Excel.
  • Experience with cloud-based lead management & case management platforms.
  • Experience with call centers or law firm intake departments.
  • Experience with law firms and legal terminology.
  • Excellent interpersonal, communication, and organizational skills.
  • The ability to work well under pressure, and to learn and retain new information.
  • Strong communication skills: ability to write well and communicate effectively, specifically over the phone and email.
  • Accurate typing skills.
  • Highly organized and detail-oriented, with exceptional leadership and interpersonal skills and a strong customer-service orientation.
  • Excellent written and verbal communication skills with spoken and written fluency in English AND SPANISH
  • Must be able to multitask and handle high-stress, sensitive situations with a high degree of confidentiality.
  • Strong management skills.
  • A professional and pleasant phone demeanor.

Compensation: $85,000 to $110,000 base salary (Depending on Experience) + Annual Bonus
