Lease Administrator-Commercial Management

The Lease Administrator should have the ability to perform multiple duties, such as being able to handle confidential materials, correspondence, memos, reports and presentations, maintaining filing system, preparing for meetings. The ideal applicant should be proficient in Microsoft Outlook Word and Excel, Yardi, excellent grammar and editing skills, and should also be able to work independently or as part of a team.

The Lease Administrator is responsible for maintaining and updating all lease-related documentation; ensuring the accuracy of tenant leases; tracking critical dates; and generating reports, as required.

Essential Duties and Responsibilities include the following.

  • Directs preparation of records such as agenda, notices, minutes, and resolutions for association meetings.
  • Acts as custodian of corporate documents and records.
  • Takes and transcribes dictation, and composes and prepares confidential correspondence, reports, and other complex documents.
  • Update lease tracking system providing changes to lease terms, rents, renewal dates, options, etc.
  • Review and abstract documents and enter all information into software system.
  • Maintain lease document log showing receipt, execution and mailing dates as well as missing document requests from landlords.
  • Basic knowledge of various functions within property management – i.e. taxation, building management, provincial requirements.
  • Strong analytical skills – ability to consider the legal, business and monetary implications related to lease contents.
  • Preparation of lease documents, SNDA agreements, Estoppel Certificates, etc.
  • Generate "options" and "expirations" reports on a quarterly basis or as needed.
  • Review, negotiate and abstract leases.
  • Monitor lease expirations and options for lease renewal.
  • Generate rent increases
  • Maintain all store lease files and records including corporate original lease file and electronic lease database.
  • Creates and maintains database and spreadsheet files.
  • Prepare any deposits for all property fiduciary accounts held by each code and post to computer system.
  • Maintain fiduciary deposit folder for each month.
  • Process month end reports and check for accuracy.
  • Other duties as assigned.

Education and/or Experience

Bachelor's degree (B. A.) from four year college or university; or at least three years related experience and/or training; or equivalent combination of education and experience.
