Please complete the top portion of this form and provide it to your previous employer for completion. To qualify, newly hired employees must provide this form, completed by your former employer(s), to Human Resources no later than the date of their fingerprinting and appointment.

JOB QUALIFICATIONS:

Knowledge of:


  • Accounting, bookkeeping, leasing, and cash-handling practices.

  • Financial reconciliation and audit procedures.

  • Customer service principles and account collection processes.

  • Standard office practices, equipment, and software (Excel, Access, Word, scheduling programs).

  • Perform and track accounting and leasing functions accurately and efficiently.

  • Analyze data and prepare clear, concise financial and administrative reports.

  • Research, compile, and consolidate information from multiple sources.

  • Troubleshoot problems and recommend effective solutions.

  • Communicate effectively in person, on the phone, and in writing.

  • Organize multiple priorities, meet deadlines, and manage interruptions.

  • Establish and maintain positive, collaborative working relationships with District staff, vendors, and the public.

  • Maintain strict confidentiality of records and information.

DUTIES AND RESPONSIBILITIES:

  • Provide administrative support to Facilities & Operations leadership, including preparing leasing contracts, correspondence, reports, and other documents.

  • Coordinate facility leasing requests; meet with potential lessees to review needs against District policies; prepare required paperwork; bill and collect lease fees.

  • Maintain leasing schedules, databases, and tracking systems; prepare quarterly leasing reports for Board review.

  • Monitor and reconcile financial transactions; ensure compliance with accounting standards and District policy.

  • Troubleshoot software and technical issues; maintain and update department website and scheduling software.

  • Assist with preparation of District, State, and Federal reports.

  • Serve as backup for Facilities Operations Clerk and provide clerical support during absences or peak workloads.

  • Coordinate administrative processes such as time and attendance, workers’ compensation records, personnel file maintenance, and driving record compliance reviews.

  • Develop spreadsheets, databases, brochures, and reports; proofread and edit documents prepared by others.

  • Research, organize, and conduct special projects or studies as assigned.

  • Maintain confidentiality and ensure all work is completed in accordance with District policies, procedures, and safety standards

Acceptable Experience & Training


  • High school diploma or GED; college coursework in business, accounting, or a related field preferred.

  • Four (4) years of progressively responsible administrative and accounting experience.

  • Demonstrated proficiency with Microsoft Excel and Access.

  • Equivalent combinations of training and experience may be considered.
