Legal Administrative Assistant – Full-time

Seeking an enthusiastic and detail-oriented professional to manage the administrative responsibilities of a law office. Our legal services include trust and estate planning, trust and estate administration, and equine business law, with clients who are in the equine industry, nonprofits, and licensed professionals (such as veterinarians).

This position requires in-office work, with the potential for remote work 1-2 days per week, as job duties permit.

Compensation range of $21.00/hr to $25.00/hr base compensation commensurate with experience, with paid holidays, and a possibility of discretionary bonus. Full-time employees are eligible to accrue qualified health reimbursements of up to $4,320 per year. Full-time employees are eligible to accrue up to two weeks accrued paid leave per year.

- Strong writing, grammar, proof-reading and organizational skills

- Extensive proficiency with Microsoft Office 365 and its core applications: Outlook, OneDrive, Word (including high-level formatting functions), Excel, as well as Adobe Acrobat Pro

- Self-starter and independent worker

- Positive, “no task too small” mindset

- Eager to learn, grow, and evolve

Preferred Qualifications

- 1-3 years of law office experience in trust and estate planning and administration

- Experience using one or more legal CRMs and document drafting software. Firm currently uses Lawcus and HotDocs.

- Associate degree in relevant field of study.

Duties

- Manage phone and written communications with clients, outside attorneys, and others

- Manage scheduling and calendars

- Receive and organize paper and electronic documents and data on client matters

- Manage and organize electronic client files

- Prepare written correspondence, proofreading and editing

- Development of case management systems, including workflows, checklists, templates

- Data management for estate planning and probate files, and prepare estate planning papers

- Collaborate with team and oversee development and maintenance of firm CRM, resources, procedures, vendor relationships

- Electronic filings for court, Secretary of State, property records, and other government filings

- Run firm errands, including pick up mail

- Collaborate with the firm’s marketing professional to ensure all public-facing content is regularly reviewed and updated

- Provide support to attorney as needed with preparing/organizing for client meetings and calls

- Client intake including information gathering, scheduling, and preparing of client files

- Other tasks as needed
