Job Description:

We are seeking a highly organized and detail-oriented Legal Assistant to join our dedicated team at Inland Injury Law Center. In this role, you will provide essential administrative support, ensuring the smooth operation of our personal injury practice. You will be a crucial part of our mission to help clients navigate the legal process during a challenging time, with a primary focus on maintaining our fully electronic, paperless filing system and providing direct support to the Case Manager and legal team.

Responsibilities:

1. Case Manager and Legal Support (New Focus)

  • Assist Case Manager: Provide direct administrative and clerical support to the Case Manager to ensure client cases move efficiently through the legal process.
  • Case-Related Documents: Assist with the preparation of demand letters, settlement agreements, and other case-related documents.
  • Drafting: Draft basic legal documents and correspondence under the supervision of attorneys.
  • Research: Conduct legal research using online databases and other resources, focusing on personal injury law.
  • Client Intake: Assist with client intake, gathering information about their cases and ensuring they feel supported.

2. Administrative and Communications Support

  • Phone Management: Answer phone calls, take messages, and greet clients with empathy and professionalism.
  • Call Direction: Direct and transfer incoming phone calls efficiently and courteously to the appropriate departments and staff members.
  • Scheduling: Manage calendars and schedule appointments for attorneys and staff.
  • Filing: File legal documents electronically (e-filing) with courts and insurance companies.

3. Paperless File Management & Mail Processing

  • Sort and Direct Mail: Manage all incoming physical mail, sorting it accurately and directing it to the proper individual or department.
  • Digital Filing & Verification: Scan, rename, and securely save all physical mail into the correct electronic client folders and document management system.
  • Document Destruction: Verify that the digital version of a document has been safely and correctly saved before shredding the physical copy to maintain a paperless office.
  • Maintain Electronic Files: Organize and maintain all client files, ensuring our electronic system is always current, accurate, and easily accessible.
  • Manage outgoing correspondence and prepare packages for mailing.

4. Office Maintenance & Confidentiality

  • Maintain general office cleanliness and organization.
  • Empty trash receptacles throughout the office, including colleague workspaces and common areas.
  • Maintain strict confidentiality of sensitive client information and legal matters.
  • Perform other related duties as assigned.

Qualifications:

Education and Experience:

  • Associate's degree or Paralegal Certificate preferred.
  • Prior experience providing administrative support in a legal or case management environment is highly desirable.
  • Demonstrated proficiency with electronic filing systems and document management software.

Skills and Abilities:

  • Exceptional attention to detail and high degree of accuracy in data entry and digital filing.
  • Strong knowledge of legal terminology and procedures, particularly those related to personal injury law.
  • Exceptional phone etiquette and the ability to manage a multi-line phone system.
  • Excellent written and verbal communication skills, with a focus on empathy and compassion.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Ability to prioritize and manage multiple tasks efficiently in a fast-paced environment.
  • Ability to work independently and as part of a collaborative team.
