Job Summary
Ballack Law Group, PLLC is seeking a highly organized and motivated Legal Assistant to join our growing law firm. The ideal candidate will assist attorneys and staff with daily case management, scheduling, client communications, and administrative support. This position requires strong organizational skills, attention to detail, professionalism, and the ability to manage multiple deadlines in a fast-paced legal environment.

The successful candidate will play a key role in coordinating hearings, depositions, jail visits, and client appointments while ensuring that case files, calendars, and deadlines remain organized and up to date.

Primary Duties & Responsibilities

  • Manage attorney calendars, schedules, and appointments.
  • Coordinate and schedule hearings, depositions, mediations, and client meetings.
  • Communicate with Judicial Assistants, State Attorneys, court personnel, law enforcement agencies, and jail staff regarding scheduling matters.
  • Prepare, issue, and track subpoenas and notices of hearing.
  • Assist with client intake, onboarding, and file creation.
  • Monitor and track court deadlines, discovery deadlines, and other important case dates.
  • Maintain organized electronic and physical filing systems.
  • Draft and send routine correspondence, emails, and legal documents.
  • Coordinate jail visits and attorney-client meetings.
  • Communicate with clients regarding case status, scheduling, and document requests.
  • Work closely with attorneys and internal staff to ensure cases progress efficiently.
  • Perform data entry and maintain accurate case records.
  • Assist with general office administration and other related duties as assigned.

Preferred Qualifications & Experience

  • Prior experience working in a law firm, criminal defense practice, State Attorney's Office, Public Defender's Office, or similar legal environment preferred.
  • Familiarity with court procedures, legal terminology, and case management practices.
  • Experience scheduling hearings, depositions, and coordinating with court personnel.
  • Proficiency with case management software, including Smokeball, Clio, or similar platforms.
  • Strong working knowledge of Google Workspace (Docs, Sheets, Drive, Calendar) and Microsoft Office.
  • Excellent written and verbal communication skills.
  • Strong organizational skills with the ability to prioritize multiple tasks and deadlines.
  • Experience with data entry and maintaining detailed case records.
  • Ability to work independently while collaborating effectively with attorneys and staff.
  • Professional phone etiquette and client communication skills.

Job Type: Part-time

Pay: $20.00 - $25.00 per hour
