Job Description: Legal Assistant / Scheduler

About the Role
The Legal Assistant / Scheduler plays a key role in ensuring the smooth operation of the firm’s daily activities by managing attorney calendars, coordinating events, client communication, and administrative support functions. This position requires excellent organizational skills, attention to detail, and the ability to thrive in a fast-paced law firm environment.
Key Responsibilities
· Coordinate and maintain attorney calendars, including client meetings, court appearances, depositions, mediations, and internal firm events.
· Serve as the primary point of contact for scheduling between clients, attorneys, and external parties such as courts, experts, and opposing counsel.
· Confirm appointments and deadlines with appropriate reminders and follow-up to ensure accuracy.
· Input, track, and update case schedules in the firm’s case management system.
· Monitor and flag scheduling conflicts, deadlines, and urgent tasks to attorneys and staff.
· Provide administrative support including drafting correspondence, managing documents, and assisting with file organization.
· Answer incoming phone calls, route inquiries appropriately, and provide professional communication with clients.
· Assist with coordination of intern and staff schedules as directed by the Firm Administrator.
· Assist with conducting new client intakes, including gathering preliminary case information, documenting client details accurately, and ensuring a smooth transition of information to the appropriate attorney or paralegal.
Qualifications
· Prior experience in a legal assistant, scheduler, or administrative role preferred (experience in criminal or family law a plus).
· Strong organizational and time-management skills.
· Excellent written and verbal communication abilities.
· Ability to manage multiple tasks and deadlines with accuracy.
· Proficiency with Microsoft Office Suite and case management systems (experience with Smokeball or similar software preferred).
· Professional demeanor with the ability to handle sensitive and confidential matters.

Pay: $46,834.90 - $56,403.32 per year
