Job Overview:

We are seeking a professional and highly organized Legal Executive Assistant to join our dynamic legal team. This dual-role position requires a proactive individual who can manage front-desk operations while providing dedicated administrative and personal support in Admin and Legal Departments.

Key Responsibilities:

Reception Duties:

  • Greet clients and visitors professionally and warmly.
  • Answer, screen, and redirect incoming calls and emails.
  • Manage the firm’s calendar for meeting rooms and appointments.
  • Maintain a tidy and welcoming reception area.
  • Receive and distribute mail, packages, and legal documents.
  • Maintain a client sign-in/out log and visitor records.

Legal Executive Assistant Duties:

  • Provide confidential administrative support to the Managing Partner and other legal departments if necessary
  • Manage diaries, schedule meetings, and coordinate travel arrangements.
  • Draft, format, and review correspondence, memos, and legal documents.
  • Assist in client follow-ups, billing, and legal file management.
  • Handle personal errands and administrative tasks for the assigned executive(s).
  • Assist with office inventories and other admin duties.

Required Qualifications & Skills:

  • Proven experience as a receptionist or personal assistant in a legal environment (minimum 2–3 years).
  • Familiarity with legal terminology, documents, and office procedures.
  • Excellent organizational and multitasking skills.
  • Strong written and verbal communication skills.
  • High level of discretion and confidentiality.
  • Proficient in Microsoft Office Suite (Word, Outlook, Excel) and case management systems (e.g., Clio, LEAP, or other CRM).
  • Professional appearance and demeanor.

Preferred Qualifications:

  • Certificate or diploma in Legal Studies, Office Administration, or related field.
  • Prior experience in a law firm or legal department.
  • Basic knowledge of legal billing and timekeeping.
