Job Overview:
We are seeking a professional and highly organized Legal Executive Assistant to join our dynamic legal team. This dual-role position requires a proactive individual who can manage front-desk operations while providing dedicated administrative and personal support in Admin and Legal Departments.
Key Responsibilities:
Reception Duties:
- Greet clients and visitors professionally and warmly.
- Answer, screen, and redirect incoming calls and emails.
- Manage the firm’s calendar for meeting rooms and appointments.
- Maintain a tidy and welcoming reception area.
- Receive and distribute mail, packages, and legal documents.
- Maintain a client sign-in/out log and visitor records.
Legal Executive Assistant Duties:
- Provide confidential administrative support to the Managing Partner and other legal departments if necessary
- Manage diaries, schedule meetings, and coordinate travel arrangements.
- Draft, format, and review correspondence, memos, and legal documents.
- Assist in client follow-ups, billing, and legal file management.
- Handle personal errands and administrative tasks for the assigned executive(s).
- Assist with office inventories and other admin duties.
Required Qualifications & Skills:
- Proven experience as a receptionist or personal assistant in a legal environment (minimum 2–3 years).
- Familiarity with legal terminology, documents, and office procedures.
- Excellent organizational and multitasking skills.
- Strong written and verbal communication skills.
- High level of discretion and confidentiality.
- Proficient in Microsoft Office Suite (Word, Outlook, Excel) and case management systems (e.g., Clio, LEAP, or other CRM).
- Professional appearance and demeanor.
Preferred Qualifications:
- Certificate or diploma in Legal Studies, Office Administration, or related field.
- Prior experience in a law firm or legal department.
- Basic knowledge of legal billing and timekeeping.
