Job Summary
Under the direction of management, this position is responsible for comprehensive oversight and administration of incoming legal requests, including but not limited to levies, garnishments, and subpoenas. This role plays a pivotal part in the meticulous processing of all received legal documents, ensuring accurate filing and cataloging, and maintaining professional correspondence with third parties, including external legal counsel, while citing statues and regulations when needed. Additionally, this position is responsible for articulating the Credit Union's actions in response to court orders, such as holding funds, and identifying key legal implications, while escalating complex matters to senior staff and internal corporate counsel as necessary.

This position focuses on projects and education within the organization regarding various legal processes.

SCHEDULE
Full time; This role can be hybrid with some in office requirements, depending on business need.
To be effective, an individual must be able to perform each job duty successfully.
  • Maintain and continuously update comprehensive legal knowledge and expertise of applicable state and federal laws and regulations, ensuring adherence to the substantive and procedural requirements for processing and administration of garnishments, levies, and subpoenas across all jurisdictions where the organization operates.
  • Conduct thorough reviews of all incoming legal documents, applying advanced critical thinking skills to interpret complex legal language, ensuring proper service, full comprehension of legal orders, and determining the appropriate organizational response.
  • Examines legal documents for sufficiency of information and returns unacceptable documents, citing discrepancies or reasons for rejection including statutory references when appropriate.
  • Assists team and management with establishing guidelines and processes for specialized and complex legal documents such as ORS or child support levies, temporary restraining orders, and time-sensitive subpoenas or warrants.
  • Engages with other teams to ensure the organization’s proper adherence to complex and detailed restraining orders that require restrictions and attention outside of traditional procedures.
  • Provide training and guidance to other teams with foundational information regarding legal review and processes. Ensures all requirements are met in accordance with internal and external regulatory guidelines.
  • Assists management and corporate counsel with daily functions of the Legal Team.
  • Maintains consistent and reliable document retention with a high level of documents received daily. Processes payments to third parties including law firms and state agencies for garnishments and levies.
  • Assists branch personnel and the Legal team with coordinating subpoenas to appear, including scheduling pre-trial meetings and training with the attorneys as well as preparing for testimony.
  • Assists management with reviewing system audits to ensure information is accurate and in accordance with law.
  • Routinely performs reconciliations on the Legal general ledgers to ensure accuracy, reporting to management regularly.
  • Ensures all requirements are met in accordance with internal and external regulatory guidelines.
  • Performs other duties as assigned.

Experience
  • Three years of legal, risk management, internal audit, technical and/or legal documentation analysis, law interpretation, or operational compliance experience, preferably in a financial institution setting.

Education
  • Bachelors degree in a related field or one additional year required for the experience listed above.

  • No supervisory/ managerial responsibilities.


Interpersonal Skills
  • Work normally involves contact with persons beyond immediate associates. Outside contacts take the form of service to the public (members, attorneys, etc.) requiring ordinary courtesy in providing assistance and information.

Computer/Office Equipment Skills
  • Adding machine/10-Key, Type 35+ words per minute
  • Basic computer operating skills including windows navigation, mouse/keyboard functionality
  • Intermediate/Advanced with Microsoft Word and Excel.
  • Demonstrated experience with core banking systems

Language Skills
  • Demonstrated ability to clearly express ideas, methodology, results and recommendations verbally, in writing and through insightful reports and graphic illustrations
  • Demonstrated ability to document outcomes and present information in a manner appropriate for key stakeholders and all levels of the organization.
