The Law Department is comprised of three divisions: the City Attorney's Office, which handles representing the City in civil matters, the City Prosecutor's Office, which handles the prosecution of misdemeanor crimes committed in Phoenix, and Management Services.

The City Attorney's Office is seeking a highly skilled, detail-oriented legal professional to join their team as a Legal Secretary*Lead. This is a supervisory role that provides legal secretarial and administrative support for attorneys and support staff in the Law Department. Work is performed independently with minimal supervision.

Job responsibilities include:

  • Conducting employee workload coordination, performance reviews, progressive discipline, training, coaching, interviewing, and hiring.
  • Assembling data and coordinating workflow for the timely preparation of routine correspondence and legal documents.
  • Reviewing documents for completeness, typographical and formatting accuracy.
  • Preparing and filing legal documents using various e-filing systems in compliance with court rules and attorney instructions.
  • Managing docketing and attorney calendars for court dates.
  • Responding to inquiries (via phone, email, or in person) from internal or external stakeholders.
  • Preparing letters, memos, agendas, and reports.
  • Collecting and recording various statistical data.
  • Drafting and maintaining internal procedures.
  • Preparing correspondence, contracts, agreements, and reports in compliance with City policies and attorney instructions.
  • Facilitating monthly or quarterly staff meetings for Civil Division support staff on a rotating basis.
  • Managing the Request for Council Actions (RCA) processes for the Law Department and ensuring deadlines are met.
  • Utilization and monitoring of matter data within division case and document management systems.
  • Ensuring section records are in compliance with City retention policies and up to date.
  • Completing and/or assisting with special projects, as assigned by attorneys or supervisors.

  • Demonstrates sound judgment and excellent organizational skills with ability to plan and organize workload, prioritize multiple tasks independently, and comply with established time constraints in a fast-paced legal environment.
  • Exhibits strong supervisory skills with the ability to manage, guide, and support a team to maintain productivity and high-quality work.
  • Possesses:
    • Ability to adapt to different office settings and procedures.
    • Proficiency with legal procedures, document management, and case management software.
    • Proficiency using electronic calendars and virtual meeting software such as Microsoft Outlook, Cisco Webex, and Teams.
    • Proficiency with Word, Excel, PowerPoint.

SALARY


Pay Range: $27.49 to $38.68 hourly.

Hiring Range: $27.49 to $33.41 hourly.

Internal Only: Please understand that this is pay grade 343. If selected, your salary offer will be based on the applicable promotion or demotion worksheet in accordance with the City Pay Ordinance.

  • Demotions occur when the last two digits of the pay grade decrease.
  • Lateral transfers occur when there is no change to the last two digits of the pay grade.
  • When there is a change in the first digit of the pay grade, there may also be a change to your classification or unit.

MINIMUM QUALIFICATIONS

  • Two years of clerical experience in a legal setting, including training in typing and stenography.
  • Other combinations of experience and education that meet the minimum requirements may be substituted.

PREFERRED QUALIFICATIONS


The minimum qualifications listed above, plus:

  • Three years' experience supervising professional staff and workgroups.
  • Civil experience working in a law firm, public or private.
  • Experience with:
    • Supporting executive attorneys.
    • Conducting research, report writing, and control routing.
    • Providing sound business communication (written and oral) and public speaking.
    • Working collaboratively with internal and external stakeholders.
    • Handling confidential documents and drafting legal documents.
    • Reviewing documents for completeness, proper formatting, and typographical errors.
