Position: Loan Operations Administrator

Reports to: Director of Finance & Operations

FLSA Status: Full-time, Exempt

Organization Overview:

The North Central Massachusetts Chamber of Commerce, Visit North Central Massachusetts, and North Central Massachusetts Development Corporation (NCMDC) operate as a unified regional organization serving 700+ members across 27 communities in northern Worcester County and northwest Middlesex County. Our mission centers on "Building Businesses. Building Communities."

NCMDC is a non-profit economic development corporation certified by the U.S. Small Business Administration (SBA) as a micro-loan provider and by the U.S. Department of the Treasury under the Community Development Financial Institutions (CDFI) Program. Since 1996, NCMDC has provided over $27 million in small business lending, working in partnership with local banks, credit unions, and area nonprofits to support emerging microenterprises, small businesses, and community projects across the region.

Job Description Summary: The Loan Portfolio & Grants Administrator is a key financial operations position responsible for managing NCMDC's loan portfolio administration, grant compliance and reporting across all organizational entities, and providing administrative support to the Director of Finance. This position requires strong organizational skills, attention to detail, financial acumen, and the ability to work collaboratively across multiple programs and initiatives. The ideal candidate will be comfortable working in a dynamic, mission-driven environment where precision and relationship management are equally important.

Essential Duties and Responsibilities:

Loan Portfolio Management (55%)

  • Manage the complete loan lifecycle including application processing, underwriting support, closing coordination, and ongoing portfolio servicing
  • Assist clients and lending partners with loan application questions, ensuring all required documentation is accurate and complete
  • Screen loan applications, conduct preliminary risk analysis, and prepare presentation materials for the Lending Team and Loan Committee review
  • Coordinate loan closings with NCMDC legal counsel, UCC searches, and execution of loan documents
  • Maintain comprehensive loan files in both electronic and physical formats, ensuring regulatory compliance and audit readiness
  • Conduct ongoing portfolio monitoring including annual loan reviews and early identification of potential problems
  • Generate loan-related notices, statements, and reports; process loan transactions and maintain accurate database records
  • Track compliance with insurance, tax payments, and other non-financial covenants; follow up with borrowers as needed
  • Reconcile general ledger and account balances for assigned loan portfolios
  • Maintain and update loan database, providing regular reports on closings, modifications, and portfolio performance
  • Complete Risk Rating Matrix analysis and review with loan officers
  • Track impact data for required reporting to SBA, CDFI, and other funding sources

Grant Reporting & Administrative Support (25%)

  • Provide administrative support for grant reporting and compliance across organizational initiatives
  • Assist with preparation of grant reports and documentation for funders including SBA, CDFI, EDA, MassDevelopment and other sources
  • Help track grant deliverables, deadlines, and budget expenditures
  • Maintain organized files and documentation to support grant compliance and audits
  • Collect and compile program data and impact metrics as needed for reporting

Financial & Administrative Support (20%)

  • Provide administrative support to the Director of Finance including report preparation, account reconciliation, and audit coordination
  • Assist with accounts payable/receivable processes as needed
  • Support financial operations during high-volume periods including year-end closing, audit preparation, and quarterly reporting
  • Maintain organized filing systems for financial and programmatic documentation
  • Provide cross-functional support to organizational initiatives as needed

Customer Service & Collaboration

  • Deliver exceptional customer service to members, clients, lending partners, and the general public
  • Respond promptly and professionally to inquiries and requests for information
  • Work collaboratively with the President/CEO, Lending Team, Director of Finance & Operations, and Chamber staff
  • Represent NCMDC professionally in interactions with borrowers, lenders, attorneys, and municipal officials
  • Support other aspects of NCMDC and Chamber operations as directed by leadership

Qualifications:

Required Education and Experience

  • Bachelor's or Associate's degree in accounting, finance, business administration, public administration, or related field; or minimum 5-7 years of relevant experience in loan administration, financial operations, or nonprofit finance
  • Minimum 3-5 years of experience in loan administration, grant management, nonprofit finance, or related field
  • Strong understanding of financial statements, loan documentation, and compliance requirements
  • Exposure to grant reporting and compliance (federal, state, or foundation grants)

Required Skills and Competencies

  • Exceptional organizational skills with keen attention to detail and accuracy
  • Strong written and verbal communication skills
  • Proficiency with Microsoft Office Suite, particularly Excel; experience with accounting or financial software preferred
  • Ability to learn and work with specialized loan management platforms (experience with LenderFit, DownHome Solutions, or similar loan origination/portfolio management systems a plus)
  • Ability to manage multiple priorities and deadlines in a fast-paced environment
  • Strong analytical and problem-solving abilities
  • Collaborative team player who can also work independently
  • High level of professional discretion and confidentiality
  • Customer service orientation with professional interpersonal skills

Preferred Qualifications

  • Experience with SBA, CDFI, EDA, or similar federal lending/grant programs
  • Background in commercial lending, community development, or economic development
  • Experience in small nonprofit or chamber of commerce environment
  • Knowledge of lending regulations and compliance requirements
  • Familiarity with regional economic development ecosystem

PHYSICAL REQUIREMENTS

  • Minimal physical effort required for office-based work
  • Ability to speak, hear, and use hands to operate standard office equipment
  • Vision requirements include ability to read and analyze documents and use a computer for extended periods
  • Occasional lifting or carrying of objects up to 25 pounds
  • Periodic site visits to local businesses and meetings at various locations throughout the region
  • Valid driver's license and reliable transportation required
