We are seeking a highly motivated Logistics & Sales Administrator to join our team. This role combines sales administration, logistics coordination, and customer relationship management, offering a dynamic opportunity for someone who enjoys working independently and taking ownership of end-to-end processes.
You will be responsible for handling local and international logistics, ensuring smooth order processing, supporting the sales team, and maintaining excellent customer service. This position reports directly to the Sales Director.
Key Responsibilities
Sales Administration & Customer Support
- Process customer orders, manage transport bookings, and ensure accurate documentation.
- Handle invoicing and coordinate with Sales and Accounts teams.
- Follow up on late payments, monitor credit limits, and support yearly customer credit checks.
- Report and manage customer complaints, ensuring issues are handled promptly and professionally.
- Maintain and develop functional sales administration systems to meet service-level agreements.
Logistics & Operations
- Manage local and international logistics (by sea and road) across Qatar, UAE, Saudi Arabia, and beyond.
- Negotiate competitive freight rates and maintain strong relationships with logistics providers.
- Oversee multimodal shipments including break bulk, ISO tanks, flexibags, and bulk cargo.
- Handle customs formalities (Bayan, certificates of origin, Chamber of Commerce, weight limits, inspections, ISO container surveys).
- Coordinate closely with plant operations to ensure flawless shipments.
- Prevent detention charges by proactive follow-up and container inspections.
Continuous Improvement & Collaboration
- Communicate effectively with Sales Executives, Documentation, and Plant teams.
- Propose improvements and corrective actions to enhance efficiency and customer experience.
- Present confidently in customer meetings, providing insights and reports to management.
- Develop innovative ideas to improve customer satisfaction and support sales growth.
- Continuously expand knowledge relevant to sales and logistics through training and collaboration.
Requirements
- Bachelor’s degree in Business, Logistics, Supply Chain, or equivalent.
- Proven experience in sales administration and logistics (preferably import/export in the GCC region).
- Strong knowledge of shipping formalities, customs clearance, and multimodal transport.
- Excellent communication and negotiation skills.
- Ability to work independently with minimal supervision, while managing multiple priorities.
- Strong organizational and problem-solving abilities.
- Proficiency in MS Office and familiarity with ERP/CRM systems is an advantage.
