Logistics & Operations Specialist

G.A. Paper International is seeking a Logistics and Operations Specialist to join our growing team and take ownership of end-to-end shipment operations. We’re looking for a highly organized, detail-driven professional with exceptional communication skills. Someone who can coordinate effortlessly across international offices, clients, and vendors to ensure every shipment runs smoothly from start to finish.


Key Responsibilities:


Shipment Coordination & Execution:

  • Review and verify order details to ensure accuracy and completeness.
  • Coordinate with suppliers, warehouses, and transport partners to follow up on cargo production and loading schedules.
  • Arrange and manage transport bookings with freight forwarders and/or carriers, ensuring timely and accurate follow-up on cargo readiness and loading schedules.


Documentation & Compliance:

  • Prepare, review, and finalize all shipping documents, including commercial invoices, packing lists, bills of lading, and certificates of origin.
  • Submit documentation to shipping lines, banks or authorities as needed (e.g., for Letters of Credit, EUR1, etc.).
  • Ensure compliance with international trade regulations, country specific customs requirements and Incoterms.
  • Maintain accurate records for reporting and audits.


Communication & Client Support:

  • Act as a liaison between international internal teams, suppliers, and logistics providers.
  • Keep clients informed on shipment status, expected arrival times, and any disruptions.
  • Respond promptly to client inquiries and provide resolutions to logistics-related issues.
  • Maintain clear, professional, and proactive communication at all times.


Qualifications:

  • Minimum 2 years of professional experience, preferably in Logistics, Supply Chain, or International Trade.
  • Fluent in English (spoken and written); French fluency is a strong asset.
  • Strong organizational, analytical, and communication skills.
  • Familiarity with international shipping documentation and procedures.
  • Ability to work independently and manage multiple shipments and priorities simultaneously.
  • Proficiency in Microsoft Office; experience with logistics platforms or ERP systems is a plus.
