Key Responsibilities:1. Job Coordination & Scheduling:
- Understand the scope and technical requirements of all maintenance jobs.
- Coordinate with clients to assess needs, clarify job details, and confirm schedules.
- Assign and dispatch technicians based on job priority, location, and skill set.
- Monitor ongoing jobs to ensure timely and quality completion.
- Maintain accurate records of job statuses, technician assignments, and client communications.
2. Client & Team Communication:
- Serve as the main point of contact between clients and the maintenance team.
- Communicate job updates, delays, or changes promptly to all relevant parties.
- Handle client inquiries and resolve issues with professionalism and efficiency.
- Foster positive relationships with clients to enhance customer satisfaction and retention.
3. Procurement & Material Management:
- Identify and source materials and equipment required for maintenance jobs.
- Obtain competitive quotes from suppliers and ensure cost-effective purchasing.
- Coordinate timely delivery of materials to job sites or technicians.
- Keep an updated inventory of frequently used materials and manage stock levels.
4. Administrative Duties:
- Prepare job orders, work schedules, and completion reports.
- Assist in preparing quotations and invoices in coordination with the finance team.
- Ensure all documentation is accurate, organized, and filed appropriately.
- Maintain compliance with company policies and safety regulations.
Qualifications & Skills:
- Proven experience in maintenance coordination or a similar role.
- Strong technical understanding of maintenance services (plumbing, electrical, HVAC, etc.).
- Excellent organizational and multitasking abilities.
- Proficient in job scheduling software and MS Office Suite.
- Outstanding communication and interpersonal skills.
- Ability to work under pressure and meet tight deadlines.
- Problem-solving mindset with attention to detail.
- Knowledge of purchasing and supply chain management is a plus.
Working Conditions:
- Office-based with occasional site visits.
- Fast-paced environment requiring adaptability and proactive communication.
- May require occasional after-hours support for urgent maintenance requests.
