Job Title: Maintenance Coordinator

Department:
Reports To: Maintenance Coordinator
Location: [Abu Dhabi]

Position Summary

The Maintenance coordinator supports the day-to-day operations and maintenance of company facilities to ensure a safe, efficient, and well-maintained working environment. This role serves as the key point of contact for all building and maintenance-related requests, coordinating vendors, managing service schedules, and ensuring compliance with safety and operational standards.

Key Responsibilities

Tenant Communication & Support

  • Answer incoming calls and emails from tenants related to maintenance, repairs, and facility issues.
  • Record and prioritize service requests in the work order management system
  • Communicate estimated response and completion times to tenants and follow up to ensure satisfaction.
  • Provide excellent customer service and maintain a professional, friendly demeanor in all interactions.

Maintenance Coordination

  • Dispatch maintenance technicians or coordinate with third-party vendors to address service requests.
  • Track the status of open work orders and ensure timely completion.
  • Schedule and monitor preventive maintenance tasks as needed.
  • Verify that maintenance work is completed to quality standards and tenant satisfaction.

Administrative & Operational Support

  • Maintain accurate logs of tenant calls, maintenance requests, and completed work.
  • Assist with vendor scheduling, service reports, and invoice processing.
  • Support the Facilities or Property Manager in daily operational activities.
  • Maintain key logs, access cards, and building service records.

Health, Safety & Compliance

  • Report safety hazards or urgent maintenance issues immediately.
  • Ensure contractors follow building policies and safety procedures while on-site.

Qualifications

  • Education: Bachelor’s degree in Facilities Management, Business Administration, or a related field (preferred).
  • Experience: 2–4 years of experience in facilities coordination, building operations, or office management.
  • Skills:
  • Strong organizational and multitasking abilities.
  • Excellent communication and interpersonal skills.
  • Proficiency with MS Office and facility management software (e.g., CMMS).
  • Basic understanding of building systems ( electrical, plumbing).
