As in Admin Operations Manager, you will be responsible for managing and ensuring smooth operations of offices across all departments, companies and entitles of Azizi Developments. The role includes supervising coordinators, overseeing facilities management (FM), managing space utilization, coordinating fit-out works and the overall monitoring of quality and standards in space management. This position plays a key role in aligning operational practices with organizational goals, supporting staff and management, and ensuring that all branches operate smoothly and effectively.
Responsibilities

Admin Operations Management: Oversee daily administrative operations across all assigned branches, departments and entities, ensuring compliance with company policies and standards. Coordinate with HODs to ensure smooth execution of branch-level activities. Monitor operational efficiency and quality control across key administrative divisions, including office space, pantry service, kitchen operations, management of meeting rooms and common areas and events organisation. Innovate solutions for better management of administrative functions and requirements, leveraging technology, where needed, in close coordination with HODs and management.

Team & Coordinator Supervision: Manage the Operations Team at the Administration Department of Azizi Developoments. Lead, mentor, and manage coordinators, ensuring clear communication and alignment with company objectives. Provide guidance and training to coordinators to enhance their leadership and problem-solving skills. Oversee recruitment, onboarding, and performance evaluation of staff.

Lease & Facility Management: Manage lease renewals and agreements across branches, ensuring timely execution and compliance. Coordinate facilities management services (cleaning, security, maintenance) across all branches. Implement preventive maintenance programs to ensure branch facilities are safe and operational.

Operational Oversight:Supervise maintenance staff, contractors, and vendors across branches. Conduct periodic branch audits and inspections to ensure compliance with company standards. Manage operational budgets and assist in forecasting future needs.

Fit-out & Space Management: Analyze and review fit-out drawings to ensure compliance with company standards and requirements. Coordinate and supervise fit-out activities across branches, liaising with contractors, consultants, and vendors. Manage space planning and utilization to ensure optimal efficiency and functionality. Oversee approvals and execution of fit-out works, ensuring timelines and quality standards are met.

Administrative & Reporting: Maintain accurate records of leases, facility services, fit-out works, and branch operations. Prepare regular reports on branch performance, operational issues, and service provider performance. Assist in developing and implementing policies and procedures to improve operational efficiency company-wide.
Here's what you'll need -

Bachelor’s degree in Business Administration, Operations Management, Facilities Management, or a related field.

Additional certification in Facilities Management, Project Management (PMP), or Fit-out/Space Planning will be an advantage.

Professional training in Operations Management, Facilities Management, or Office Space Planning.

Knowledge of AutoCAD or space planning tools for analyzing and reviewing fit-out drawings.
