JOB DESCRIPTION

POSITION SUMMARY:

The Marketing & Communications Coordinator is responsible for assisting with the creation, distribution, coordination, and support of external and internal firm communications as well as supporting other content-driven functions of the Marketing Department. The Marketing and Communications Coordinator will help develop, edit, and distribute content to various target audiences on several platforms (website, intranet, email, social media, etc.).

The Marketing & Communications Coordinator supports the execution of communications initiatives, provides content development and editorial support, serves as a resource for graphic design needs, and supports the firm’s graphic designer on creative projects.

WORKING RELATIONSHIPS:

REPORTS TO: Reports to the Marketing Director and works closely with the Marketing & Communications Specialist, Marketing Graphics & Digital Specialist, and Chief Marketing Officer as a member of the marketing team.

SUPERVISES: No supervisory responsibilities.

PRIMARY DUTIES AND RESPONSIBILITIES:

· Drafts attorney bios, press releases, survey and nomination submissions, announcements, invitations, website content, presentations, ad copy, brochure content, and custom materials for external consumption.

· Supports the writing, formatting, review, approval, and distribution process for client alerts and other content.

· Ensures existing collateral materials are kept up to date and develops new materials as needed.

· Maintains and shares tracking and reporting on communication efforts and media tracking.

· Monitors firm social media channels for comments and direct messages, and routing items to the Marketing Director for review and timely response, and documenting/escalating any sensitive or high-priority inquiries.

· Supports presentation development as needed.

· Supports coordination with media inquiries and assists with external publications and media contacts for the dissemination of firm news, events, announcements, and other appropriate content.

· Provides event support by developing invitation copy and helping with other content needs for client events.

· Updates mailing lists and contact records in the email management system.

· Enforces and coordinates updates to the firm’s style guide.

· Builds and maintains relationships with digital and print outlets to foster appropriate publication and reuse of written marketing content.

· Assists with graphics requests with direction from the Marketing Graphics & Digital Specialist on an as needed basis.

· Serves as a member of the internal proofing team, responsible for proofing internal and external messaging prior to publication, through approved proofing protocols and procedures.

· Identifies areas that can benefit from content review, refresh, and updates, as well as areas where content can be newly created and developed.

· Adds content to the firm’s website as needed.

· Additional duties as required.

KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED:

EDUCATION: Undergraduate degree required (Marketing, Journalism or English degree is preferred).

WORK EXPERIENCE: 2-4 years’ experience in a communications role required. Experience in a law firm or professional services firm and experience in graphic design preferred.

Requirements:

· Strong understanding of communications, public relations, marketing, and execution of excellent customer service principles.

· Demonstrate sound judgment, prioritization, critical thinking skills, strong attention to detail, and have a sense of responsibility and accountability on processes, tasks, and projects.

· Works effectively within established review and approval processes, maintaining accurate organization and documentation across systems.

· Ability to work under pressure, handle confidential information with discretion, and prioritize competing demands.

· Responsive and deadline-driven with requests and projects.

· Excellent writing skills and strong command of the English language and AP writing style to support content development, proofreading, and editing aspects of the position.

· Ability to convey sometimes complex topics in a concise and clear manner using firm style guidelines.

· Must be familiar with email marketing systems and support efforts to keep the firm’s mailing lists clean and well-maintained.

· Must be highly proficient in Microsoft Office Suite (including Word, PowerPoint, and Excel).

· Familiarity with using AI tools, including ChatGPT and Microsoft Copilot, for process improvement and efficiencies on appropriate projects.

· Working knowledge of Adobe Creative Suite (particularly InDesign, Illustrator, and Photoshop) and Canva are preferred to support basic graphic design needs.

· Familiarity with social media tools, media monitoring tools, media databases and website content management systems. Experience with Constant Contact, JD Supra, WordPress, Agility, Nexl, and CVENT a plus.

· Strong interpersonal and verbal communication skills needed to successfully interface with a variety of individuals internally and externally.

WORKING CONDITIONS:

PHYSICAL EFFORT: Manual dexterity used in operating standard office equipment. Prolonged periods of sitting. May be required to walk to various areas throughout the office building. This may require use of elevators and/or stairs.

WORK ENVIRONMENT: Normal office environment.

JOB STATUS: This is a full-time, non-exempt position. Work after hours or on weekends may be occasionally expected or required. Limited travel is expected.

The position is required to work in the office full-time, five days a week, Monday - Friday. The department’s policy on remote work is that team members are eligible for remote work on a hybrid schedule after 12 consecutive months of full-time employment. The hybrid schedule includes a maximum of 2 days per week of remote work where the two days selected must be consistent week to week. Approval of a hybrid work schedule is contingent upon work performance, direct supervisor review and approval in addition to the reviews/approvals outlined in the firm’s remote work policy.

Location: Position may be resident in one of Steptoe & Johnson’s West Virginia (Bridgeport, Charleston, Huntington, Martinsburg, Morgantown, Wheeling), Ohio (Columbus), or Pennsylvania (Meadville, Southpointe, Pittsburgh) offices, with a preference for residence in Columbus, Pittsburgh, or Southpointe.

Pay: $42,000.00 - $63,000.00 per year
