Marketing & Administrative Coordinator

Overview
As a Marketing & Administrative Coordinator at Halo Spa Center, you’ll be at the intersection of creativity, wellness, and organization — helping our brand shine across digital platforms while keeping daily spa operations running smoothly.
We’re looking for someone who understands the beauty and wellness space — someone who sees the details that make clients feel cared for and knows how to communicate that through both marketing and client interaction.

What You’ll Do

Marketing & Brand Execution

  • Collaborate with the Halo team to plan and execute marketing campaigns that align with our brand’s focus on skin, self, and soul.
  • Create, schedule, and manage content for social media, email marketing, and digital platforms (using Canva, WordPress, and Meta Business Suite).
  • Utilize beauty industry insight to produce content that resonates with our audience — from treatment highlights to educational and lifestyle posts.
  • Track marketing performance using analytics tools, providing insights for ongoing improvement.
  • Implement SEO best practices and support paid ad campaigns (Google Ads, Meta Ads).
  • Coordinate partnerships, events, and local collaborations that elevate Halo’s community presence.

Administrative & Client Coordination

  • Learn and confidently handle client communication, including calls, rescheduling, and follow-ups with a warm, professional tone.
  • Support daily opening and closing administrative procedures — ensuring the front desk, booking systems, and inventory are organized and ready.
  • Maintain client records, marketing materials, and administrative documentation.
  • Collaborate with aestheticians and spa management to keep promotions, pricing, and services consistent across all platforms.
  • Provide occasional front desk coverage, ensuring every client feels welcomed and valued from first contact to checkout.

Basic Qualifications

  • Experience in the beauty, wellness, or medspa industry (marketing, admin, or client relations).
  • Strong skills in social media management, digital marketing, or content creation.
  • Excellent written and verbal communication with a professional, polished demeanor.
  • Ability to multitask, stay organized, and take initiative in a fast-paced spa environment.
  • Proficiency with Canva, Google Suite, and scheduling software.

Preferred Qualifications

  • Experience creating marketing materials or campaigns for beauty, skincare, or wellness brands.
  • Understanding of SEO, Google Analytics, and digital advertising.
  • Basic graphic design skills or familiarity with Adobe Creative Suite.
  • Bilingual (English/Spanish) preferred.
