Marketing Coordinator

About the role

LIPS Healthcare’s marketing team now handles requests from multiple parts of the business simultaneously: the commercial team, consultants, top management, and the development team all make asks on different timelines and with varying levels of context. We need someone whose job is to manage that intake well.

That means receiving requests, making sure each one arrives with what the team actually needs to act on it, setting clear timelines with the requesting department, and keeping a live view of what is in progress, what is queued, and what is at risk. The work is not about running campaigns. It is about making sure the team that runs them can do so without being pulled in multiple directions at once.

This role reports to the Marketing Director.

What you will be doing

  • Acting as the first point of contact for all incoming marketing requests from departments across the business
  • Reviewing incoming briefs for completeness before they reach the marketing team for scoping, and sending them back with specific questions when information is missing
  • Managing a live project board showing all active, queued, and blocked work
  • Setting realistic timelines and communicating them clearly to requesting departments, including when a request cannot be delivered on the timeline asked for
  • Running a weekly pipeline review with the Marketing Director and Growth Marketing Manager
  • Flagging scope creep and last-minute additions before they affect active campaigns
  • Documenting and gradually improving the brief and intake process alongside the marketing manager

What we are looking for

  • 3+ years of experience in a marketing operations, traffic management, or project coordination role, in an agency or a fast-moving in-house environment
  • A track record of managing several open requests at the same time without losing track of anything
  • Comfortable having clear, direct conversations with senior stakeholders about timelines and capacity, including when the answer is no
  • Hands-on experience with project management tools (Asana, Monday.com, Notion, or similar)
  • A process-oriented approach: when something goes wrong, your instinct is to fix the system, not just the individual problem
  • Clear written communication for status updates and brief documentation

Nice to have

  • Background in healthcare, clinics, or professional services environments
  • A practical understanding of how marketing campaigns are planned and built (you do not need to run them, but it helps you brief them)
  • Experience building an intake or request management process from scratch rather than inheriting a working one

About the team

  • The marketing team operates with a back-office base in Egypt and works in close coordination with London-based clinical and commercial stakeholders. This is a hybrid role. The nature of the work requires regular communication with London, so availability during overlapping working hours is expected.
