About Us

SWSB Solutions is a fast-growing marketing company working with real estate, fitness, and lifestyle brands across the U.S. We specialize in social media growth, lead generation, and automated outreach systems.

We’re looking for a highly organized, proactive Executive Assistant to support daily operations, client communication, and internal systems management.

Role Overview

This role is a mix of executive support, client communication, and marketing coordination. You’ll be responsible for keeping operations running smoothly behind the scenes — from managing schedules and inboxes to ensuring our AI systems and client campaigns are executed properly.

This is not a creative/content creation role — content and strategy are provided. Your job is to organize, execute, communicate, and ensure nothing falls through the cracks.

Responsibilities

Executive Support

  • Manage executive calendar, scheduling calls and appointments
  • Prioritize and respond to emails on behalf of the executive
  • Keep daily operations organized and running efficiently

Client & Communication Management

  • Respond to client inquiries related to our AI software
  • Maintain clear and professional communication with clients
  • Coordinate with internal team members and associates

Social Media Coordination

  • Communicate with social media associate to ensure posts are scheduled and executed
  • Provide content and direction for social media platforms
  • Ensure consistency across accounts

AI System Management

  • Oversee launch of new AI accounts
  • Ensure systems are running properly and troubleshoot when needed
  • Monitor performance and flag issues quickly

Email Marketing

  • Manage and schedule bi-weekly or monthly client email blasts
  • Ensure accuracy, formatting, and timely delivery

General Operations

  • Keep systems, files, and workflows organized
  • Track tasks and ensure deadlines are met
  • Identify inefficiencies and suggest improvements

Ideal Candidate

  • Extremely detail-oriented and organized (this is critical)
  • Strong written communication skills
  • Comfortable managing emails and client communication
  • Able to multitask and prioritize in a fast-paced environment
  • Tech-savvy and comfortable learning new platforms
  • Reliable, proactive, and solution-oriented

Bonus:

  • Experience with email marketing platforms (Mailchimp, GoHighLevel, etc.)
  • Familiarity with social media scheduling tools
  • Experience with CRM systems or automation tools

Compensation & Growth

  • $25–$30/hour
  • 15–20 hours per week
  • Primarily remote (Greater San Diego area preferred)
  • Opportunity to grow into an operations or management role as we scale
