The City of Effingham is seeking candidates to serve as Mayor’s Assistant. The Mayor’s Assistant reports to the Mayor. This position is full-time, with a minimum starting wage of $29.07 per hour. Wage increases to a minimum of $29.82 per hour after six (6) months of service. The City offers a comprehensive benefits package, including a defined pension plan. Duties
- Organize, screen, and administer the correspondence, phone calls, email, and appointment schedule for the Mayor;
- Serve as a back-up to Customer Service Representatives, as needed;
- Serve as a back-up to the City Clerk in the preparation of the City Council agenda and assist with the development of other City agendas, as needed;
- Develop a professional and knowledgeable understanding of state, county, and municipal government;
- Conduct research, compile data, and prepare documents for consideration and presentation by the Mayor, as well as the City Council;
- Coordinate marketing, media, and public relations for the Mayor;
- Attend meetings to record minutes, as requested by the Mayor;
- Receive visitors for the Mayor;
- Resolve citizen concerns as presented, or direct citizens to appropriate parties;
- Coordinate incoming memos, submissions, and reports to determine their significance and their distribution;
- Perform general office duties, such as ordering supplies, maintaining records management database systems, and basic bookkeeping responsibilities;
- Process travel arrangements, as requested;
- Respond to requests for information, following state and federal laws and requirements for information dissemination;
- Develop and prepare complex and advanced reports, memos, letters, financial statements and other documents;
- Maintain the Mayor’s calendar with meetings, events, and functions;
- Coordinate and perform administrative tasks for the Mayor, City Administrator, Deputy City Administrator, and department heads as assigned by the Mayor;
- Coordinate the Mayor’s review and approval of the City Council agenda;
- Prepare and organize special activities, events, and projects, including proclamations, recognition documents, and programs;
- Support the Mayor who serves as Liquor Control Commissioner and serve as Deputy Liquor Control Commissioner;
- Research and development of the liquor licensing process;
- Maintain current knowledge of State liquor statutes and regulations, and maintain a good working relationship with the Illinois Liquor Control Commission;
- Maintain all aspects of liquor licensing functions, including receiving and reviewing applications, processing licensing payments, conducting background checks, preparing ordinances and resolutions, and maintaining records;
- Coordinate the Mayor’s appointments to boards and commissions, and prepare all relevant resolutions of appointment;
- Performs other duties, as assigned.

Minimum Qualifications
- High School diploma or equivalent;
- And three (3) to five (5) years of related experience and/or training;
- Or equivalent combination of education and experience;
- Experience with Microsoft Office Suite.
Preferred Qualifications
- Associate’s Degree or equivalent;
- And six (6) to ten (10) years of related experience and/or training;
- Or equivalent combination of education and experience;
- Experience with Microsoft Office Suite.
