Job Summary

We are seeking a highly organized and detail-oriented individual to join our Media Operations team as a Department Assistant. The successful candidate will provide essential administrative support, ensuring the efficient and smooth operation of the team’s daily tasks and projects. This is an excellent entry-level opportunity for someone eager to learn and grow within a dynamic, fast-paced environment.

Key Responsibilities

1. INTERNAL TASK COORDINATION & FOLLOW-UP

  • Task Coordination & Follow-up: Responsible for the coordination and follow-up of work tasks within the department (replacing "Administrative & Calendar Management").
  • Team Support: Provide comprehensive administrative support to the Media Operations team, including scheduling appointments, managing calendars, and preparing meeting materials.
  • Communication Flow: Handle all incoming and outgoing correspondence, including emails, phone calls, and mail, ensuring timely and accurate delivery of information.
  • Coordination: Coordinate travel arrangements, schedule meetings, and organize team events as required.

2. DOCUMENTATION & INFORMATION MANAGMENT

  • Record Integrity: Maintain accurate and up-to-date records, files, and databases for the department.
  • Document Preparation: Prepare and distribute necessary reports, presentations, and other departmental documents.
  • Confidentiality: Maintain strict confidentiality and handle all sensitive information with utmost discretion.

3. CROSS-DEPARTMENTAL LIAISON (REPLACING "FINANCIAL & GENERAL OFFICE SUPPORT")

  • Coordination & Follow-up: Serve as the primary point of contact for follow-up and coordination with the Installation team, Maintenance team, BD Team, Advertising Sales team, and other departments.

Requirements

ESSENTIAL QUALIFICATIONS

Education: Associate's or Bachelor's degree preferred

Experience: 1-2 years of administrative experience in a similar role.

Language: Must be fluent in English, with the ability to communicate and express ideas accurately.

CORE SKILLS

Technical Proficiency: Proficiency in Microsoft Office Suite or relevant OA systems.

Organization: Excellent organizational, communication, and problem-solving skills.

Work Ethic: Strong attention to detail and ability to maintain accuracy and confdentiality.

Teamwork: Proven ability to work independently as well as collaboratively as part of a team.

Collaboration Tools: Familiarity with Google Workspace or similar collaboration tools is a plus.

Job Type: Full-time

Pay: AED4,000.00 - AED7,000.00 per month
