The Clinic Receptionist serves as the first point of contact for patients and visitors, representing the professionalism, warmth, and efficiency of the clinic. This individual is responsible for ensuring a seamless patient experience from check-in to check-out while maintaining confidentiality, accuracy, and a positive atmosphere within the reception area.

Key ResponsibilitiesFront Desk & Patient Relations

  • Greet all patients and visitors with a professional, courteous, and welcoming attitude.
  • Manage patient registration, appointment scheduling, and follow-up reminders (phone, WhatsApp, and digital platforms).
  • Maintain a clean, organized, and calm reception area at all times.
  • Handle patient inquiries efficiently and escalate clinical or administrative issues appropriately.
  • Ensure patients are informed about waiting times, payment procedures, and follow-up requirements.

Administrative & Operational Support

  • Accurately collect and enter patient data into the clinic’s EMR system.
  • Verify insurance coverage and ensure all required documentation is complete.
  • Process payments, issue receipts, and balance daily cash and card transactions.
  • Coordinate with nurses and physicians to manage patient flow and avoid delays.
  • Handle incoming calls, messages, and emails promptly and professionally.

Professional Conduct & Confidentiality

  • Uphold strict patient confidentiality and data protection standards (NHRA compliant).
  • Adhere to clinic policies, dress code, and professional ethics at all times.
  • Display excellent communication, empathy, and problem-solving skills.
  • Handle difficult situations with patience, composure, and diplomacy.

Working Hours

  • The clinic operates 24 hours, and shift schedules are flexible.
  • Candidates should be available for evening shifts, including weekends and public holidays on a rotational basis.
  • Shift timing may vary according to operational needs.
