Medical Front Desk Coordinator

Position Overview:

We are looking for an organized, detail-oriented, and empathetic Front Desk Medical Receptionist to be the first point of contact for our patients. Your warm demeanor, excellent organizational skills, and outstanding communication abilities will play a crucial role in ensuring our patients receive efficient and compassionate service.

Your responsibilities will include scheduling and checking in patients, answering telephones, obtaining/verifying patient insurance/benefits, managing incoming referrals and faxes, contacting patients for medical information, and supporting the billing and Optical teams.

Our medical practice has three locations in Irving, Plano, and Arlington. This position will primarily cover our Irving and Plano locations, but willingness to periodically travel to our Arlington office will be needed.

Duties and Responsibilities Include:

  • Patient Check-In/Check-Out: Greet patients, verify their information, collect co-pay and/or deductible, and assist with the necessary paperwork for appointments.
  • Appointment Scheduling: Efficiently manage appointment bookings, register and schedule patients to ensure the clinic's schedule runs smoothly.
  • Telephone and Email Communication: Answer multiple phone lines. Handle patient inquiries, appointment confirmations, and general queries via phone and email while documenting encounters in the electronic medical records system.
  • Insurance Verification: Verify patient insurance information and ensure accurate billing details are collected.
  • Medical Records Management: Maintain organized and up-to-date medical records for each patient.
  • Patient Assistance: Provide directions, information, and support to patients as needed.
  • Collaboration: Coordinate with medical staff, administrators, and other departments to ensure efficient patient flow.
  • Adherence to Protocols: Follow clinic policies, procedures, and regulatory guidelines, including HIPAA.

Required Qualifications:

  • High school diploma or equivalent.
  • Strong computer skills.
  • Bilingual in English and Spanish - preferred.
  • Empathetic and friendly demeanor, with the ability to provide exceptional patient care.
  • Previous experience as a medical receptionist or in a customer-facing role.
  • Ability to work Monday-Thursday from 7:45am-5pm and Friday from 8:00am-2pm.
  • Background and reference check completion prior to employment.
