Medical Front Desk Receptionist

Job Summary
We are seeking a dynamic and friendly Front Desk Receptionist to be the welcoming face of our organization. Duties

  • Greet visitors and clients warmly, ensuring they feel welcomed and attended to promptly.
  • Manage multi-line phone systems with professionalism, directing calls accurately and courteously.
  • Handle incoming correspondence, emails, and inquiries with attention to detail and timely responses.
  • Maintain organized filing systems, data entry records, and ensure all documents are accurate through proofreading and editing as needed.
  • Schedule appointments, manage calendars, and coordinate meetings using Microsoft Office tools and Google Workspace.
  • Support office management tasks such as ordering supplies, maintaining cleanliness, and overseeing general administrative functions.
  • Assist with bookkeeping tasks using QuickBooks or similar software to support financial record-keeping when necessary.
  • Provide exceptional customer support by addressing questions or concerns efficiently and professionally.
  • Perform clerical duties including typing reports, filing documents, and managing office correspondence with precision.
  • Uphold excellent phone etiquette while handling inquiries from patients or clients in medical or dental settings if applicable.

Skills

  • Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications.
  • Experience with multi-line phone systems and excellent phone etiquette skills.
  • Bilingual abilities are highly desirable to serve diverse client needs effectively.
  • Demonstrated office management experience combined with strong organizational skills and time management capabilities.
  • Proven clerical experience including data entry, proofreading, filing, and document management.
  • Knowledge of QuickBooks for bookkeeping tasks is a plus; familiarity with medical or dental receptionist duties is beneficial.
  • Exceptional customer service skills with the ability to handle inquiries professionally under pressure.
  • Ability to multitask efficiently while maintaining attention to detail in a fast-paced environment.
  • Personal assistant experience or calendar management skills are advantageous for supporting team members’ schedules.
