Growing multidisciplinary pediatric therapy clinic seeking a full-time mature and experienced manager to manage pediatric therapy practice. Candidate must have over 8 years of experience in the medical office field. Looking for a team player with a can do attitude and great work ethic.
Performance and Operational Expectations
As Office Manager, your role is essential to ensuring the overall success and operational excellence of the practice. Your responsibilities will include, but are not limited to:
- Maintaining Key Performance Metrics: You will be expected to monitor and ensure that productivity targets and performance numbers are consistently met or exceeded.
- Patient Experience Oversight: You are responsible for supporting a culture of high patient satisfaction, proactively addressing concerns, and ensuring a smooth, professional experience for all families.
- Team Management: You will lead and support staff to meet individual and team goals, holding team members accountable to performance expectations while fostering a positive, collaborative work environment.
- Operational Efficiency: Your role includes ensuring that the business operates smoothly and efficiently by implementing and enforcing policies and procedures, streamlining workflows, and reducing inefficiencies wherever and whenever possible.
- Clinical Support Coordination: While not a clinical role, your leadership should support the clinical teams in delivering effective and timely care, with attention to scheduling, documentation, and productivity standards.
This is a leadership role that requires a proactive mindset, strong organizational and communication skills, and a commitment to both team and client outcomes.

*This position is responsible for achieving key performance metrics related to revenue, client volume, and operational efficiency. The Office Manager will actively manage scheduling, staffing productivity, and cash-pay program conversion to drive measurable clinic growth.
*Success in this role is measured by clinic revenue growth, schedule utilization, and the ability to consistently convert opportunities into enrolled services.
Knowledge of EMR systems required, medical billing experience a plus. Main job duties include but are not limited to:
- Answering phones
- Greeting patients
- Insurance Authorizations
- Copay/coinsurance collection
- Scheduling appointments
- Maintain medical records
- Insurance verification
- Check/return emails and voicemails
- New Patient outreach
- Monitoring Productivity Reports of Therapists
- Managing Emails
- Filing and Data Entry
- Handling Deliveries & inventory
- Monitoring Office Supplies
- Cleaning duties
- Social Media Accounts
- Track daily revenue + visits vs. targets
KPIs:
- Show rate %
- Daily visit count
- Units per therapist per day
- Same-day fill rate
JOB REQUIREMENTS:
- High school graduate
- Over 8 years of experience in medical office experience is required.
- Knowledge of major Medical Insurance Plans and types of coverage provided
- Knowledge of ICD10, CPT Coding and billing for overseeing operations.
- Demonstrated Intermediate knowledge of macs, google sheets & docs, and data entry
- Demonstrated excellent customer service and communication skills
