The Practice

This is a distinguished, membership-based private practice in Alexandria, Virginia. We offer a bespoke, relationship-driven model of care to a select group of patients who invest in their health at the highest level. The Role

We are seeking an experienced, dynamic Office Manager to join our team. This is a leadership role at the heart of the practice — someone who brings both operational rigor and genuine warmth, and who understands that in a practice this personal, every interaction matters. You will manage insurance billing, accounts receivable, and front-office operations while ensuring compliance, efficiency, and strong financial performance. This role requires the manager to also be the medical biller.

Responsibilities

Revenue Cycle Management

  • Submit and track claims across Medicare and commercial payers
  • Manage denials, appeals, and payment posting
  • Monitor accounts receivable and aging reports
  • Ensure CPT, ICD-10, and modifier accuracy — Internal Medicine and Medicare experience preferred
  • Improve clean claim rate and reduce accounts receivable days
  • Generate monthly billing performance reports

Office Operations

  • Supervise front desk and administrative staff
  • Oversee scheduling and workflow efficiency across the practice
  • Ensure HIPAA compliance at all levels of operation
  • Coordinate with CPA, vendors, and payroll services
  • Support physician leadership with growth and operational initiatives
  • Design, implement, and monitor KPIs to drive performance and accountability
  • Identify and improve operational efficiency and the patient experience
  • Conduct full-cycle hiring, onboarding, and development of clinical and administrative staff
  • Lead conflict resolution and actively cultivate a warm, high-performing office culture
  • Support the physicians in delivering a seamless, bespoke care experience to every member

Qualifications

  • Minimum 3 years of management and medical billing experience, preferably in primary care
  • Proficiency in CPT, ICD-10, modifiers, and payer policies
  • Experience with EMR/EHR systems
  • Proven ability to manage accounts receivable and denials
  • Leadership experience preferred in building teams and scaling a practice
  • Strong organizational and communication skills
  • Dynamic and solutions-oriented, with a growth mindset and creative approach to problem-solving
  • Warm, personable, and skilled in conflict resolution and personnel management

Pay: $26.44 - $33.65 per hour
