The Front Desk Executive / Receptionist is the first point of contact for patients at Healthy Skin Co. This role is crucial in creating a warm, professional, and organized experience for every visitor. The ideal candidate will be friendly, well-groomed, proactive, and capable of managing front-office operations smoothly while maintaining excellent patient relationships.
Key ResponsibilitiesFront Desk & Patient Handling
- Greet patients and visitors courteously and ensure a welcoming clinic environment
- Handle patient check-ins, registrations, and appointment confirmations
- Guide patients regarding consultation flow, waiting time, and clinic procedures
- Ensure smooth coordination between doctors, therapists, and patients
Appointment & Schedule Management
- Manage appointment bookings (in-person, phone, WhatsApp, or online systems)
- Confirm, reschedule, or cancel appointments as required
- Maintain daily doctor schedules and avoid overlaps or delays
- Follow up with patients for missed or upcoming appointments
Communication & Coordination
- Answer incoming calls professionally and address patient queries
- Respond to WhatsApp, email, and social media inquiries related to appointments
- Communicate treatment preparation instructions to patients when required
- Coordinate with internal teams to ensure seamless patient experience
Billing & Documentation
- Generate invoices and collect payments (cash, UPI, card, etc.)
- Maintain accurate patient records and billing data
- Handle basic insurance or package-related queries (if applicable)
- Ensure confidentiality of patient information at all times
Clinic Administration
- Maintain front desk hygiene, displays, brochures, and signage
- Track daily footfall, appointments, and basic reports
- Manage stock of front-office supplies and inform management for replenishment
- Assist management with administrative tasks as assigned
Required Skills & QualificationsEducation
- Graduate or equivalent qualification preferred
Experience
- 1–3 years of experience in a front desk or receptionist role
- Prior experience in a clinic, hospital, wellness center, or aesthetic brand is an advantage
Skills
- Excellent verbal and written communication skills
- Pleasant personality with strong interpersonal skills
- Ability to multitask and remain calm under pressure
- Basic computer knowledge (MS Office, appointment software, billing systems)
- Fluency in English and local language(s); Hindi is an added advantage
