Job Summary
We are currently seeking a detail-oriented and proactive Front Desk Administrator to support the administrative needs of our busy therapy office. This role focuses on behind-the-scenes responsibilities such as managing scheduling, following up on electronic intake paperwork, responding to client portal messages, and assisting with daily office operations.

This is a full-time, in-office position from Monday through Friday 8AM - 4PM. The ideal candidate is dependable, self-motivated, and has strong communication and time management skills.

Responsibilities

Client Coordination and Communication

  • Review new client inquiries each morning and schedule appointments by phone or email.
  • Follow up with clients to ensure electronic intake paperwork is completed prior to scheduled sessions.
  • Monitor and respond to client messages within the portal in a timely and professional manner.
  • Track and update appointment details in the Electronic Health Record (EHR) system.

Administrative and Operational Support

  • Assign therapy rooms and maintain the daily schedule.
  • Assist with internal scheduling adjustments and communicate updates to staff.
  • Perform daily office upkeep tasks including tidying the waiting room, kitchen area, and therapy offices.
  • Place supply orders (e.g., coffee, paper, office and essentials) and restock shared spaces.

Support for Clinical Director

  • Assist Dr. Joe Kort with basic administrative tasks, such as organizing appointments, meetings, and travel. Handle emails, calls, and messages on behalf of Dr. Kort.

Required:

  • Minimum of 2 years in an administrative, office assistant, or scheduling role
  • Strong organizational skills and excellent attention to detail
  • Proficiency with basic computer skills, email, and typing (minimum 30 WPM)
  • Proficiency in Microsoft (Word, Excel, PowerPoint)
  • Strong written and verbal communication skills
  • Comfortable working independently in a fast-paced environment
  • Professional, respectful, and compassionate demeanor

Preferred:

  • Experience in a healthcare, behavioral health, or private practice setting
  • Familiarity with Electronic Health Record (EHR) systems
  • Understanding of HIPAA and confidentiality protocols
