Overview
We are seeking a dynamic and highly organized Membership Secretary to join our team! This vital role is dedicated to managing membership operations, ensuring seamless communication with members, and supporting the overall administration of our organization. The ideal candidate will bring enthusiasm, excellent organizational skills, and a passion for fostering positive member relationships. Duties

  • Maintain accurate and up-to-date membership records using tools like Microsoft Office
  • Manage incoming inquiries via multi-line phone systems and email, providing exceptional customer support and information
  • Handle front desk responsibilities, greeting visitors and directing them appropriately with professional phone etiquette
  • Oversee office management tasks including filing, data entry, proofreading, and calendar management to ensure smooth daily operations
  • Support bookkeeping activities related to membership dues, deed transfer and recording and payments using software
  • Coordinate membership renewals, new member onboarding, and communication campaigns to enhance member engagement
  • Coordinate rental cabin booking and cleaning schedules and golf package scheduling

Qualifications

  • Proven office management or administrative experience with strong organizational skills and attention to detail
  • Proficiency in computer literacy including Microsoft Office Suite (Word, Excel, Outlook)
  • Excellent communication skills, both verbal and written; bilingual abilities are a plus for serving diverse members
  • Strong typing skills and data entry accuracy for maintaining precise records
  • Familiarity with multi-line phone systems, phone etiquette, filing systems, and general clerical tasks
  • Ability to manage time effectively in a fast-paced environment while prioritizing multiple responsibilities
  • Previous experience in customer service or personal assistant roles is beneficial for understanding member needs
