Mental Health Coordinator

Job Summary:

We are seeking a detail-oriented, energetic, and highly organized individual to join our team as a Mental Health Coordinator. The Mental Health Coordinator is vital in supporting the effective delivery of mental health services by coordinating scheduling, communication, documentation, and operational logistics between psychiatric mental health nurse practitioners (PMHNP), therapists, clients, and administrative staff. This position ensures that mental health services run smoothly, efficiently, and in compliance with regulatory standards

Key Responsibilities:

Scheduling & Coordination

  • Manage appointment scheduling for Psychiatric Mental Health Nurse Practitioners (PMHNP), therapists, and clients, ensuring optimal resource utilization.
  • Coordinate mental health care services, medical management appointments, and therapy sessions across multiple mental health providers and service areas.
  • Monitor waitlists and manage cancellations and rescheduling.

Client Support & Communication

  • Serve as a point of contact for clients and families regarding appointments, billing inquiries, therapy-related questions, and communicate medication management questions to the PMHNP.
  • Facilitate intake processes and complete all required documentation before services begin.

Administration & Operations

  • Maintain accurate client records and ensure confidentiality in accordance with HIPAA and other applicable regulations.
  • Assist with insurance verifications, authorizations, and billing processes.
  • Support documentation collection, progress reports, and treatment plan updates in collaboration with PMHNPs and therapists.

Staff Coordination

  • Support PMHNPs and therapists with administrative needs related to caseload management.
  • Communicate important updates and reminders regarding deadlines, client needs, and scheduling changes.

Qualifications:

  • Minimum of 2–3 years of experience in mental health services, case management, or program coordination.
  • Experience working in clinical or community mental health settings preferred.
  • Demonstrated ability to coordinate multidisciplinary care and support for individuals with mental health needs.
  • Excellent organizational, communication, and problem-solving skills.
  • Ability to work with diverse populations and manage sensitive and confidential situations with professionalism and empathy.
  • Knowledge of HIPAA and other regulations related to mental health care.
  • Proficiency with electronic health records (EHR) and standard office software (e.g.,

Microsoft Office, Google Workspace).

Working Conditions:

  • Office/facility-based with potential for remote coordination, depending on organizational needs.
  • Standard working hours with occasional evening/weekend availability as needed.

Job Type: Full-time

Pay: $23.00 - $25.00 per hour
