Merchandise Coordinator

Summary:

The Merchandise Coordinator supports the daily operations of Rosen Hotels & Resorts’ retail outlets by managing inventory, coordinating vendor relations, and ensuring accurate pricing and product presentation. This role plays a key part in maintaining the integrity of the merchandise program across shops, spas, and delis, while delivering exceptional service to internal teams and guests.

Responsibilities:

  • Assist with the creation and maintenance of purchase orders (POs) in Adaco for gift merchandise and retail items.
  • Coordinate merchandise transfers between properties and outlets, ensuring accurate documentation and timely delivery.
  • Maintain up-to-date product information in POS systems, including SKUs, pricing, and descriptions.
  • Create and distribute price labels for merchandise across retail locations.
  • Track and report damages, missing items, and vendor credits.
  • Support inventory counts and reconciliation efforts; collaborate with OCIA to resolve discrepancies.
  • Communicate with vendors regarding orders, deliveries, and payment issues; assist Accounts Payable in resolving invoice discrepancies.
  • Maintain vendor files including contact information, packing lists, invoices, and credit memos.
  • Monitor and report on gift shop sales trends; assist with reorders and product recommendations.
  • Deliver retail labels and assist with merchandise setup and transfers as needed.
  • Maintain and troubleshoot label printers and other merchandising equipment.
  • Coordinate department calendars and provide reminders for meetings and deadlines.
  • Attend staff meetings and relay relevant information to merchandising associates.
  • Provide general administrative support to the merchandising team and assist with special projects as assigned.
  • Comply with the company's drug-free and tobacco/nicotine-free policy.
  • All other duties as assigned.

Experience/Qualifications:

  • Minimum 2–3 years of experience in retail operations, merchandising, or administrative support required —preferably in a hospitality or multi-outlet environment.
  • Experience with inventory systems such as Adaco, POS platforms, and basic accounting coordination is highly desirable.
  • Strong organizational skills and attention to detail.
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook).
  • Excellent communication and interpersonal skills.
  • Ability to manage multiple tasks and prioritize effectively.
  • Professional demeanor and team-oriented mindset.
  • Ability to lift 25 lbs. frequently and up to 50 lbs. infrequently.
  • Must be able to legally work in the USA.

Education and Certification(s)/License(s):

  • Associate’s degree in Business Administration, Retail Management, or Hospitality preferred.
