Job Summary/Primary Role:
The Mission Engagement Administrative Coordinator provides high-level administrative and logistical support for One Day Missions Experiences and related ministry initiatives. This role manages communications, scheduling, travel coordination, event preparation, and information tracking to ensure excellent service to partnering churches, missionaries, and internal ministry teams.
Because these events are highly relational and represent ABWE to churches and ministry partners, this role requires exceptional attention to detail, strong organizational skills, and a commitment to clear and gracious communication that reflects ABWE’s mission and values.
Essential Functions and Responsibilities include but are not limited to:

Coordinates scheduling and logistics for One Day Missions Experiences and related ministry initiatives.

Creates and manages calendar invitations for churches, missionaries, facilitators, and internal staff for meetings, orientations, reviews, and events.

Coordinates meetings related to missionary participation, testimony interviews, and event preparation.

Supports Launch Point activities by coordinating meetings between churches, prospective missionaries, and trip leaders.

Serves as a primary administrative contact for churches, missionaries, facilitators, scholarship recipients, and internal staff.

Communicates regularly through email, phone, and other platforms to coordinate meetings, answer questions, and provide logistical support.

Provides timely and professional responses that strengthen relationships and reflect ABWE’s commitment to excellent ministry partnership.

Orders and manages event resources, printed materials, and promotional items.

Packs and ships event materials and mobilization resources for facilitators and event locations.
-
Coordinates resource preparation and distribution for ministry events.

Maintains accurate records of church engagement, meeting progression, missionary participation, and related ministry interactions.

Organizes and manages digital files and departmental documentation to support ministry tracking and follow-up.

Works with the Communications team to maintain accurate and current event information on the ABWE website.

Assists with coordinating digital resources (i.e. PowerPoint) and ministry information for event participants.

Coordinates lodging and logistical arrangements for missionaries and facilitators participating in One Day Missions Experiences.

Assists with logistical planning to ensure events operate smoothly and efficiently.

Maintains collaborative working relationships with departments such as Advancement, Mobilization, and Communications to ensure cohesive ministry efforts.

Supports coordination of media, presentations, and ministry resources with relevant teams

Performs other duties or special projects as required or as assigned.
Qualifications: Ability to pass background check and all necessary clearances as mandated by the Commonwealth of Pennsylvania.
Education: Associate’s or Bachelor’s degree in business administration, ministry, communications, or a related field preferred.
Minimum Prior Experience Required:

2–4 years of administrative, event coordination, or ministry support experience preferred.

Experience managing calendars, coordinating meetings, and organizing complex schedules.

Experience working in a ministry, nonprofit, or church environment is helpful.

Experience with CRM/RMS (Rock) highly preferred.
