Office Admin & CRM Coordinator

Dubai, United Arab Emirates

Key Responsibilities:


CRM & Data Management

  • Maintain and update client, contact, proposal, and opportunity records in Microsoft Dynamics 365 CRM.
  • Conduct regular data audits to ensure accuracy and consistency across the system.
  • Liaise with various teams to gather and input critical data for business operations.

Proposal & Opportunity Support

  • Assist in the preparation of client proposals, including collecting inputs and formatting documents.
  • Track proposal status and coordinate updates with relevant teams.
  • Share weekly progress reports on proposals and opportunities.

Timesheet Management

  • Oversee timesheet entry, tracking, and approval workflows.
  • Ensure timely and accurate submission and approval of timesheets.
  • Follow up with team members on compliance and submission deadlines.

Administrative Support

  • Provide general administrative assistance including scheduling meetings, calendar coordination, and managing office supplies.
  • Coordinate documentation and meetings across departments such as Tax, Legal, HR, and Risk.
  • Assist in onboarding documentation and tracking for new clients.

Cross-Functional Coordination

  • Act as a point of contact for inter-departmental communication to support seamless workflows.
  • Identify opportunities to improve administrative processes and propose solutions.


Qualifications & Skills:

  • Bachelor's degree in Business Administration or a related field
  • 3+ years of experience in CRM management, administrative support, or coordination roles
  • Proficiency in Microsoft Dynamics 365 CRM and Microsoft Office Suite
  • Excellent organizational and time management skills
  • Strong communication skills and a collaborative mindset
  • High attention to detail and ability to handle confidential information responsibly
  • Must be currently based in the UAE
