Job Summary
We are seeking a dynamic and highly organized Office Administrator to join our team! In this vital role, you will be the backbone of our daily operations, ensuring the smooth and efficient functioning of the office environment. Your energetic approach and strong organizational skills will help foster a welcoming atmosphere for clients, visitors, and team members alike.

Responsibilities

Front Desk & Visitor Management: Greet visitors with professionalism and warmth, ensuring a positive first impression. Manage incoming calls, mail, and deliveries.

Customer Support: Respond promptly to inquiries via email, phone, and in person while maintaining high standards of etiquette and accuracy.

Administrative Support: Coordinate new hire onboarding, handle maintenance requests, and ensure office compliance with internal policies and safety procedures.

  • Assist the sales team with submitting orders and processing payments when necessary.
  • Review and process drop-ship orders with accuracy and attention to detail.
  • Investigate order or shipment issues such as delays, reroutes, or discrepancies.
  • Check PO Box for incoming mail

General Operations: Support management with administrative projects, scheduling, and cross-department communication to ensure smooth day-to-day operations.

Mail Management:

  • Check the company’s local P.O. box regularly for incoming mail and packages.
  • Distribute or notify staff when mail or deliveries have arrived.
  • Maintain accurate tracking of important documents or shipments.

Qualifications

  • 1–3 years of administrative or office coordination experience (experience in sales support or logistics is a plus).
  • Strong written and verbal communication skills.
  • Excellent organizational skills and attention to detail.
  • Proficient with Microsoft Office or Google Workspace (Sheets, Docs, Gmail, Drive).
  • Familiarity with CRM or ERP systems (e.g., HubSpot, Monday.com, QuickBooks, or Shopify) a plus.
  • Ability to multitask and prioritize in a fast-paced environment.
  • Positive attitude, dependable, and solution-oriented.

Job Type: Full-time

Pay: From $19.00 per hour

Expected hours: 40 per week
