Office Administrative Assistant

Key Responsibilities

  • Customer Relations: Serve as the primary point of contact for incoming calls and emails, providing professional and warm service to clients and vendors.
  • Scheduling & Coordination: Manage calendars and schedule estimate appointments and service requests based on daily workflow.
  • Operations Support: Create job folders, record daily work tickets from field crews, and send digital notices to clients regarding performed services.
  • Financial Assistance: Assist with basic bookkeeping, including entering bills in QuickBooks, processing invoices, and tracking subcontractor receipts.
  • Data & Records: Maintain organized digital and physical customer files, update CRM databases, and manage office supply inventory.

Suggested Skills Qualifications

  • Experience: 1–2+ years of administrative or customer service experience preferred. Background in landscaping, construction, or trades is a major plus.
  • Technical Proficiency: Strong skills in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace.
  • Software Knowledge: Familiarity with accounting software like QuickBooks Online and industry-specific CRM tools (e.g., LMN) is highly desirable.
  • Soft Skills: Proven ability to prioritize effectively, and maintain confidentiality in a busy environment.
