Office Administrative Assistant

Job Overview
We are seeking a highly organized Office Administrative Assistant to join our small family owned and operated organization. In this vital role, you will be the heartbeat of our office operations, ensuring smooth daily functions and providing exceptional support to staff and visitors alike. Duties

  • Manage front desk operations, greeting visitors with professionalism while maintaining a positive first impression
  • Answering phones and directing calls accurately and courteously
  • Handle data entry tasks using Microsoft Office and QuickBooks to ensure records are precise and up-to-date
  • Perform clerical duties such as filing, proofreading documents, and managing correspondence
  • Provide excellent customer service by responding promptly to inquiries via phone or email and supporting client needs
  • Assist with bookkeeping tasks including basic bookkeeping using QuickBooks and tracking expenses or invoices
  • Maintain office supplies inventory and ensure the workspace remains organized and functional
  • Updating and posting to social media.

Skills

  • Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Quickbooks.
  • Excellent organizational skills with the ability to prioritize tasks effectively and manage time efficiently
  • Exceptional phone etiquette skills for handling multi-line phone systems with professionalism
  • Social media experience including content creation is a strong plus.
  • Previous office experience or clerical experience demonstrating familiarity with administrative procedures
  • Proven customer service skills with a friendly, approachable demeanor
  • Attention to detail for proofreading documents and data entry accuracy
  • Experience with office management tasks such as calendar management and filing systems
  • Knowledge of medical or dental receptionist duties is a plus but not required; personal assistant experience is beneficial
  • Ability to adapt quickly in a busy environment while maintaining a positive attitude

Pay: $20.00 - $26.00 per hour
